General Function:

The Housekeeping Supervisor, functioning as a first line working supervisor, is responsible for managing the day-to-day housekeeping and janitorial activities of the organization’s facilities.  Provides direction to subordinate housekeeping and janitorial staff.  Assists the Facilities Manager in maintaining a high-quality standard of housekeeping by keeping him/her informed of the immediate condition of all assigned areas.  The Housekeeping Supervisor is responsible for training, supervising and motivating the department personnel to ensure that all schedules are completed.  Works under general supervision and uses independent judgment to apply guidelines to specific situations.  These functions are to be performed in accordance with the overall NHA philosophy, policies, procedures and standards.

This position will assist with the creation of written guidelines, schedules, policies and procedures in accordance with all organizational, local, state, federal and industry standards.

Duties and Responsibilities:

The Housekeeping Supervisor will manage the following duties and provide general supervision of the housekeeping and janitorial staff as assigned.  Duties include but are not necessarily limited to:

General Duties:

  • Coordinates activities by scheduling work assignments, setting priorities, and directing the work of subordinate housekeeping and janitorial staff.
  • May, as necessary, complete work assignments, particularly in the absence of subordinate housekeeping and janitorial staff.
  • Evaluates and verifies employee performance by making rounds to check for staff coverage of designated work areas and reviews of completion of work assignments and work techniques and ascertains compliance with directives.
  • Identifies staff development and training needs and ensures that training is obtained.
  • Determines materials, supplies and equipment needs; requisitions cleaning supplies and materials.
  • Stock and ensure the appropriate supply of housekeeping and janitorial supplies.
  • Controls the expense of supplies and inventory
  • The Housekeeping Supervisor should see that supplies and equipment are properly stored and secured.
  • Conducts inspections and investigates staff and patient complaints of the cleanliness of the buildings to check for cleanliness and advise subordinates of found conditions and methods of correction.
  • Inspects equipment for cleanliness and condition/repair and personally makes minor repairs. Completes maintenance requests for equipment in need of major repairs.
  • Trains subordinates in job skills, proper cleaning methods, and use of equipment, safety practices, fire prevention, and work regulations.
  • Maintains records and prepares reports and composes correspondence relative to the work.
  • Updates and maintains MSDS books.
  • Under the supervision and direction of the Facilities Manager, handles work scheduling matters, including requests for paid and/or unpaid time off, and approval of department time sheets in accordance with departmental and organizational policies and procedures.
  • Familiar with the organization’s Fire & Disaster plan and the role of the Housekeeping and Janitorial Staff in that plan.
  • Improves quality by studying, evaluating, and re-designing processes; implementing changes.
  • Participates in QI/QA meetings and duties as assigned.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Weekend and evening work may be required.

Leading:

Performs selection, staffing and human resource management functions such as:

  • In collaboration with the Human Resources Department: conducts in-depth assessment interviews to determine the technical and behavioral competencies of the candidate to ensure that the best from among the qualified candidates are hired by the organization.
  • Adheres to and implements the philosophy of “hiring the best fit” and ensures that prospective employees’ personal values are aligned with the organization’s corporate values.
  • Coach, mentor and develop staff, including overseeing new employee department specific onboarding and providing career development planning and opportunities.
  • Performs on-going and annual employee evaluations for subordinates.
  • Under the supervision and direction of the Facilities Manager, handles work scheduling matters, including requests for paid and/or unpaid time off, and approval of department time sheets in accordance with departmental and organizational policies and procedures.
  • Conducts regular and periodic meetings the with team, to ensure that following:
  • Implementation of all Housekeeping and Janitorial Team plans, programs, and projects are strictly adhering to prescribed deadlines and schedules.
  • All communications and relevant information pertaining to the team are cascaded to the proper channels within the team in particular, and the organization in general.

Controlling:

  • Develops and formulates performance measures and standards for the team.
  • Reviews and evaluates performance status reports of housekeeping services as a basis for monitoring the progress of the various activities and programs within the department.
  • Tracking vital department statistics on monthly, quarterly and annual basis to show trends and recognize successful performance by staff members and to uncover problem areas before they come serious.

Miscellaneous and Special Assignments:

  • Management of special projects as required. Completes these assignments by establishing objectives, determining priorities; managing time; gaining cooperation of others, monitoring progress; problem solving, making adjustments to plans.
  • Development and implementation of new programs and project initiatives. Enhances organization’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Qualifications:

  • Minimum of 1 year of housekeeping/janitorial management experience and superior customer service and communication skills.
  • Valid Ohio or Michigan driver’s license and reliable personal transportation with proof of insurance. Driving record must be satisfactory in order to be covered by the organization’s auto insurance policy.
  • Thorough knowledge of the standard methods, equipment, and supplies used in large-scale housekeeping and janitorial activities.
  • Thorough knowledge of the qualities, adaptabilities, and uses of common tools, equipment, and materials used in cleaning and maintenance activities.
  • Thorough knowledge of methods used in the cleaning of buildings.
  • Thorough knowledge of occupational hazards and safety rules and regulations.
  • Considerable knowledge of vector control (integrated pest management) practices.
  • Considerable knowledge of employee policies and procedures.
  • Ability to operate and use tools and equipment of housekeeping and janitorial services.
  • Ability to maintain cleaning equipment and machinery.
  • Ability to develop work schedules making the most efficient use of subordinate staff.
  • Ability to train and supervise a group of employees.
