About the Position
We are seeking a motivated and detail-oriented project support professional to coordinate elements of the execution of utility scale engineering projects, including substations, transmission lines, solar, and wind facilities. This role is a hybrid position that blends elements of project coordination, project controls, supporting project engineers, and supporting project managers.
As a member of a growing, collaborative team, this individual will support project delivery, scheduling, proposal tracking, and overall project operations. This role helps protect leadership bandwidth, strengthens intake and prioritization discipline, and reduces administrative and coordination friction so engineers can remain focused on high value technical work and client delivery. The role requires strong organizational skills, and the ability to support multiple projects simultaneously in a fast-paced consulting environment.
As the Utilities Organization continues to grow, this role will be instrumental in reinforcing operational discipline and enabling leadership and engineering teams to operate with clarity, focus, and momentum.
Essential Responsibilities
What you will do

Provide direct operational support to utility group leaders and project teams, assisting with coordination of priorities, schedules, and commitments across active projects.

Schedule and coordinate project activities across engineering, operations, and leadership to ensure work progresses in alignment with scope, schedule, and priorities.

Coordinate project schedules, milestones, and commitments across active projects to support effective execution and minimize delivery conflicts.

Maintain visibility into project commitments, action items, and deliverables, ensuring timely follow up and escalation as needed to support consistent execution.

Draft, edit, and coordinate professional communications on behalf of engineering group leaders.
Additional Responsibilities
Engineering Team Support & Intake Coordinator

Act as an operational support partner to engineering teams by reducing administrative burden and improving workflow clarity.

Support proposal tracking and pursuit coordination, including maintaining logs, deadlines, and status updates.

Maintain visibility into open items and ensure structured follow-up to prevent bottlenecks or missed handoffs.

Coordinate scheduling, documentation organization, and internal communication to streamline execution.

Assist in maintaining and updating project schedules, work plans, and task tracking tools

Help identify potential schedule conflicts, resource constraints, or execution risks.

Reinforce structured communication and prioritization practices that reduce unnecessary interruptions and improve execution consistency.

Identify workflow gaps or inefficiencies and partner with leadership to implement practical improvements.

Support organization and maintenance of shared technical documentation and resources in alignment with company standards.
Cross-Functional Communication & Operational Discipline

Facilitate clear communication between leadership and engineering teams to ensure alignment and responsiveness.

Improve transparency around priorities, deadlines, and commitments.

Support new order intake and prioritization processes by tracking requests, clarifying requirements, and assisting leadership with coordination and follow-up.

Contribute to a culture of accountability, responsiveness, and operational consistency.
Must Have

3-5 years of experience in project coordination, operations coordination, project engineering, or a similar role within an engineering or consulting environment.

Demonstrated experience organizing people, priorities, and workflows within client-facing, deadline-driven engineering or consulting environments

Proven ability to manage complex priorities while aligning closely with leadership direction and established processes

Strong organizational skills with exceptional attention to detail

Excellent written and verbal communication skills

Professional presence and ability to exercise discretion in handling confidential information

Strong proficiency in Microsoft Excel, PowerPoint, Outlook, and Word, with the ability to manage high-volume communication effectively

Demonstrated preference for structured, detail-oriented coordination work and a strong sense of ownership over administrative excellence

Authorization to work in the United States on a full-time basis

Work Environment: Office setting with some field work required.
