Overview:
We are seeking a highly organized, detail-oriented Surgical Scheduler to join our team. This individual will play a key role in coordinating surgical procedures, supporting patients through their surgical journey, and ensuring seamless communication between physicians, hospitals, and clinical staff. The ideal candidate is a proactive professional who excels in patient service, multitasking, and maintaining accuracy in a fast-paced environment.
Roles & Responsibilities:
- Schedule surgical procedures efficiently and accurately.
- Coordinate with physicians, hospitals, and surgical centers to arrange procedure dates, times, and necessary resources.
- Manage all pre-surgical documentation (History & Physicals, pre-authorization forms, dates of service) and facilitate clear communication between clinical and hospital teams to ensure patient readiness and seamless care continuity.
- Answer patient phone calls and provide patients and/or partners with clear, detailed scheduling information.
- Use working knowledge of insurance plans to verify requirements, authorizations, and coverage details.
- Utilize EMR systems for scheduling, documentation, and communication.
- Serve as the primary liaison for patients throughout their surgical process.
- Provide clear, concise communication regarding appointments, pre-operative instructions, post-operative expectations, and general inquiries.
- Maintain a polished, professional presence through written and verbal correspondence.
- Manage phone lines, email inquiries, and internal messaging with responsiveness and professionalism.
- Maintain organized EMR documentation, patient records, and surgical care timelines and booking sheets into the Practice Management System.
- Prepare and mail surgery packets containing orders, post-operative and physical therapy appointments, and submit completed booking sheets to the designated facility.
- Support operational excellence by upholding brand standards, compliance policies, and workflow efficiency.
- Previous experience in a surgical clinic or similar healthcare setting preferred.
- Strong understanding of surgical scheduling processes, insurance requirements, and medical terminology.
- Excellent communication, time management, and organizational skills.
- Professional presence and composure in fast-paced or high-pressure situations.
- Proficiency with EMR systems, scheduling platforms, and digital communication tools.
- Ability to maintain strict confidentiality and adhere to patient privacy regulations (HIPAA).
- Strong computer skills and the ability to learn new systems quickly.
- High school diploma or equivalent required; additional medical office training or certification is a plus.
- Ability to operate standard office equipment, including computers, phones, printers, fax machines, and copiers.
- Preferred/ not required: Knowledge of CPT/ICD-10 codes to ensure proper scheduling and documentation.
Physical Requirements:
- Monday–Friday, daytime schedule required.
- Ability to sit for extended periods, move throughout the office as needed, and perform light lifting; manual dexterity required for frequent computer and phone use.
- Ability to lift or carry light items, typically up to 10–15 pounds (e.g., files, supply boxes).
- Clear verbal communication over the phone and in person with staff, patients, and facilities.
