Summary
We are seeking an Administrative Specialist to join our team at the Nebraska Department of Health and Human Services. This role is crucial in supporting our operations by managing administrative tasks efficiently, ensuring that our team can focus on delivering high-quality services to Nebraskans.
Job Responsibilities
In this dynamic and impactful role, you will:
- Process a variety of financial documents, including journal entries, invoices, inter-agency fund transfers, and reimbursement forms.
- Coordinate the onboarding process for new occupational licensing board members.
- Support compliance monitoring for licensees placed on disciplinary action.
- Coordinate and issue alcohol testing permits.
- Assist with managing high volumes of incoming and outgoing mail and respond to public inquiries by phone and email.
- Assist licensees during renewal periods and support customer service functions.
- Coordinate onboarding and offboarding teammates.
- Order and track office supplies, phones and specialty items as needed.
- Contribute to the development and implementation of a new License Information System.
- Participate in special projects, data tracking, and the creation of presentations.
Qualifications
Minimum Qualifications: Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.
Preferred Qualifications:
- One year of post-high school coursework or experience in:
- Administration, office management, accounting, or finance
- Policy analysis, operations research, or program evaluation
- Fields related to public health, licensing, or government operations
Knowledge, Skills & Abilities
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to manage sensitive information with confidentiality and professionalism
- Customer-focused mindset with problem-solving skills
- Proficiency in Microsoft Office Suite and other administrative software
