What are the responsibilities and job description for the Office and Gift Processing Assistant position at Nebraska Community Foundation?
The Office and Gift Processing Assistant is responsible for managing efficient and accurate gift processing records and procedures, supporting the effective use of information systems and technology specific to donor and volunteer information, providing a wide range of confidential administrative support to the Nebraska Community Foundation team and assisting with the efficient operation of the office.

Examples of Specific Duties and Responsibilities
- Perform receptionist duties, including answering phones, routing calls, taking messages, providing general information and greeting visitors
- Receive and distribute incoming packages; prepare outgoing packages and coordinate pickups
- Produce and reproduce spreadsheets, forms, templates, letters, memos, minutes and agendas from straight copy, rough draft, or oral instructions
- Produce, reproduce, and assemble multiple copy reference materials
- Maintain accurate office hard copy and electronic filing and record keeping systems; file documents, enter and retrieve data, and ensure information is organized and accessible.
- Prepare and coordinate outgoing mailings, including monthly and quarterly fund statements and weekly outgoing checks
- Provide administrative support for scholarship selection committees
- Provide administrative support for the Trailblazer project
- Provide administrative support to team members, including remote staff
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
- Record and process gifts (to include non-cash gifts and pledges) and non-gifts
- Generate gift receipts and acknowledgement letters
- Enter and maintain accurate donor and volunteer information in donor database system
- Assist the Database Specialist in maintaining the integrity of the database system by participating in data maintenance projects, identifying issues and accurately updating day-to-day records
- Create and maintain event registration sites; enter and update post-event information and forms in the appropriate systems
- Assist with administration of the online fund statement access portal administration
- Perform other duties as assigned
Education, Skills and/or Experience
- High school diploma or equivalent required
- Knowledge of administrative and clerical procedures and systems such as filing, record management, forms, and general office practices, procedures and equipment
- Ability to actively listen and communicate effectively with a variety of individuals
- Ability to build and maintain trusting relationships
- Strong organizational skills with demonstrated attention to detail and follow-through
- Have a problem-solving mindset
- Exceptional computer skills including proficiency with Adobe Acrobat, Microsoft Office applications such as Word, Excel, PowerPoint and Outlook
- Familiarity with Blackbaud Raiser’s Edge and Financial Edge preferred
- Minimum of two to four years related office experience

- Nebraska Community Foundation is based in Lincoln, NE with remote employees located across the state. This position is based in Lincoln, Nebraska.
- This position requires occasional travel throughout the State
- Excellent attendance and timeliness are required
- Valid driver’s license and reliable transportation
