Job Summary
This position provides administrative and receptionist support for the business facility, including operating a multiline telephone system to answer and direct incoming calls to appropriate personnel. Responsibilities include supporting business operations through accurate timekeeping and tracking in accordance with established schedules, processing payroll, creating and releasing tickets to invoice products to internal and external customers using Master Builders invoices and delivery tickets, and assisting with end-of-month inventory and cycle counts. Also responsible for printing invoices and credits, coding monthly garage charges, and maintaining accurate pricing updates within the system.
Essential Duties and Responsibilities include, but are not limited to, the following:
Abide by all Company Safety Program and Policies, while performing duties safely.
Serve as the first point of contact for the facility by operating a multiline telephone system, answering and directing incoming calls, and providing general company information to callers.
Greet and assist on-site visitors, determine the nature of their business, and direct them to the appropriate personnel or department.
Support payroll and timekeeping processes, including processing weekly timekeeping for assigned divisions and ensuring accuracy in accordance with established schedules.
Perform billing and invoicing functions, including creating and releasing tickets to invoice products to internal and external customers using delivery tickets and supporting documentation, and printing invoices and credits from financial system.
Maintain accurate financial and operational records by coding monthly garage charges, updating pricing in financial system database, and assisting with end-of-month reporting activities.
Assist with inventory management, including supporting end-of-month inventory processes and cycle counts.
Process receivable payments by reviewing and routing checks to the appropriate divisions and handling credit/debit card payments through Converge.
Maintain document management systems, including ensuring daily tickets are uploaded into OnBase and coordinating with plant locations for completeness and accuracy.
Provide administrative support by preparing memos, correspondence, reports, and other documents, and assisting with monthly reporting updates for management.
Conduct research to resolve discrepancies such as missing orders or invoices and support credit processes, including processing new credit applications.
Perform general clerical and office support duties, including sorting and distributing mail, filing invoices and tickets, photocopying, and maintaining organized records
Maintain office operations by ordering and stocking supplies and ensuring the office environment is organized and functional.
Provide cross-functional support and backup to other administrative roles, including the Job Account Coordinator, as needed.
Perform additional duties assigned in support of business operations.

- High School education or GED required, certificate from college or technical school preferred; and
- six months related experience and/or training; or
- equivalent combination of education and experience.
