Office Receptionist /Scheduler

Job description:
Specific Duties/Essential Functions:
  • Answer incoming calls, make outgoing calls to clients.
  • Track call log.
  • Experience with Google Calendar, Google Mail, Google Sheets, Google Voice & text.
  • Transmit information or documents to customers, using computer, mail, or email. Provide information to walk in clients, about the courses or services provided. Provide information and answer client's questions.
  • Send client thank you emails to clients & referrals. Enroll clients in classes.
  • Register clients using the office database and complete paperwork electronically and/or manually.
  • Add detailed notes to the student profile after speaking to client or student for effective intra office communications.
  • Process payments using office database; collect occasional check payments or cash.
  • Conduct reminder calls for specific group courses.
  • Schedule driving appointments and.
  • Cover new client inquiry calls & provide course information (Potential Clients).
  • Team Player.
  • Maintain iPads and charge each day.
  • Review all paperwork to be scanned, including outside records. After performing a quality check, upload Driving Evaluations into students profile in Teachworks.
  • Maintain & Disinfect Office area keeping it clean.
  • Other projects as assigned.
Specifics:
  • Energetic, dependable, professional, person who enjoys working in a fast paced environment in a small office setting. Qualities needed include great communication skills and excellent customer service who can adapt to changes quickly. Knowledge of general office procedures; good organizational and multitasking skills and attention to detail; aptitude to learn new processes and procedures. Handle interruptions with finesse and professionalism; Delegate certain tasks and coordinate with your team; Experience using multiple telephone-line systems. Must be able to work in a team environment and work independently, as well.
  • Previous Office Admin experience or Call Center background a plus.
  • Multi-tasking & detailed oriented.
  • Valid ID.
  • Must pass a background check.

Hours Monday - Friday 8:45am - 5pm
Medical & Dental Benefits; Supplemental benefits; Simple IRA, PTO, Holiday Pay
Full Time hours: 37-40
Expected Start Date: ASAP
Job Types: Full-time
Salary: Training rate $21.50; After Introductory period and job proficiency, rate will increase to $23.00
