Administrative Assistant / Marketing Coordinator for Insurance Agency
Key Responsibilities
1. Front Desk & Customer Service
- Manage front desk operations, ensuring a welcoming and professional environment.
- Greet visitors with professionalism and courtesy.
- Provide excellent customer service by answering phones, assisting with inquiries, resolving issues, and routing messages to the appropriate departments.
2. Email, Calendar & Workflow Management
- Organize and manage the Owner’s professional email and the agency’s general inbox, ensuring timely responses and follow-up.
- Maintain and coordinate the Owner’s calendar, including scheduling internal meetings, client appointments, and quarterly reviews.
- Track and manage sales and claims pipelines, ensuring deadlines and tasks remain on schedule.
- File new insurance claims and follow up with carriers and clients throughout the claims process.
3. Internal Operations & Communication Support
- Delegate tasks to appropriate departments, monitor progress, and ensure timely completion.
- Attend internal meetings, take detailed notes, and follow up on action items.
- Assist with carrier appointments, including maintaining documentation and updating credentialing records.
4. Reporting & Presentations
- Compile data and create presentations for quarterly meetings.
- Prepare financial summaries, production reports, and performance metrics (e.g., new premiums, growth updates).
5. Marketing & Digital Communications
- Support the planning, execution, and tracking of marketing campaigns and client engagement initiatives.
- Edit and post content for the Owner’s and agency’s social media accounts, including Facebook, Instagram, LinkedIn, and the company website.
- Maintain consistent branding and ensure a professional online presence across all digital platforms.
Qualifications
- Proven experience in administrative support or office coordination, ideally in an insurance or professional services environment.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite including email and calendar management, Teams, Excell, Power Point,
- Proficiency in marketing on social media platforms.
- Excellent organizational skills and the ability to manage multiple priorities.
- Self-motivated with a proactive approach to tasks and problem-solving.
Job Type: Full-time
Pay: $23.76 - $28.61 per hour
Expected hours: 40 per week
