Nature of Stone (https://www.natureofstone.us/), a wholesale importer and distributor of natural and man-made stone products, has an exciting and unique opportunity for a receptionist/administrative assistant. In this position, you will:
- Cheerfully and genuinely greet visitors, answer incoming calls, emails, and texts
- Respond to inquiries in a professional and courteous manner
- Provide customer assistance in starting their visit, during their visit, and at the conclusion of their visit
- Schedule appointments, deliveries, and coordinate meetings and conferences with management
- Prepare and distribute correspondence, memos, reports, and presentations as needed
- Maintain electronic and hard copy filing systems, ensuring documents are organized and easily accessible
- Create holds as well as process and track invoices, liaising with management as necessary
- Accept and process A/R payments into software, and work with management to send out statements and reports as needed
- Assist with special projects and events, providing logistical support and coordinating logistics as required
- Perform general clerical duties such as photocopying, scanning, faxing, emailing, and filing, as well as posting and removing material in the sales area as needed
- Perform general cleaning duties such as dusting, vacuuming, sanitizing in the office, the restroom, and the general sales floor
Minimum requirements include:
- High school diploma or equivalent; additional education or training in office administration is desirable
- Proven experience and enthusiasm as an administrative assistant, secretary, or similar role
- Proficiency in Microsoft Office and Google Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Excellent communication skills, both written and verbal, with a professional and friendly demeanor
- Ability to maintain confidentiality and handle sensitive information with discretion
- Detail-oriented with a high level of accuracy in work output
- Ability to work independently with minimal supervision and collaborate effectively as part of a team
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously in a fast-paced environment
- Valid driver license and a clean driving record
- You must be able to pass a background check and pre-employment drug screen
- Forklift experience and/or crane operating experience is a plus
