Position Summary

Natural Beauty Aesthetics & Wellness is seeking a Guest Relations Coordinator who is passionate about creating an exceptional guest experience from the moment a client walks through our doors until long after they leave. This position is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and takes initiative without being asked.

ResponsibilitiesGuest Experience

• Welcome every guest with a warm, friendly, and professional attitude.
• Ensure every client feels valued, comfortable, and well cared for.
• Assist with client check-in and check-out.
• Maintain a clean, organized, and inviting reception area.
• Offer beverages and create a luxury spa experience for every guest.

Customer Service

• Answer incoming phone calls, text messages, emails, and online inquiries promptly and professionally.
• Schedule and confirm appointments.
• Follow up with leads and prospective clients.
• Resolve client concerns with professionalism and empathy.
• Build strong relationships that encourage guest loyalty and referrals.

Administrative Duties

• Maintain accurate client records.
• Verify forms and paperwork are completed.
• Assist with inventory, retail displays, and office organization.
• Help prepare for events, promotions, and educational seminars.
• Support providers with daily operational needs.

Sales & Growth

• Educate clients on memberships, promotions, and skincare products.
• Assist with retail recommendations and sales.
• Encourage online reviews and referrals.
• Help achieve monthly practice goals through outstanding service and relationship building.

Qualifications

• Able to work efficiently in a fast-paced medical aesthetics practice.

Preferred Experience

• Front desk or guest services experience
• Medical office, spa, salon, or hospitality experience
• Sales or retail experience
• Experience with scheduling software and EMRs (preferred but not required)
