Position Summary
The Staff Accountant supports an accurate and timely month‑end close and maintains clean financial records in QuickBooks Online. This role focuses on reconciliations, journal entries, accruals, revenue tie‑outs, and organized documentation. The Staff Accountant works closely with the Accounting Manager to standardize accounting processes, strengthen financial accuracy, and improve close speed within a mission‑driven behavioral health organization.
Essential Duties & Responsibilities
Monthly Close & Reconciliations
- Complete assigned tasks on the monthly close calendar.
- Prepare support schedules, account analyses, and variance checks.
- Reconcile key balance sheet accounts (bank/credit cards, payroll clearing, accruals, etc.).
- Maintain organized workpapers to support internal review, audits, and tax preparation.
Journal Entries & Accruals
- Prepare routine accruals (payroll/benefits timing, subscriptions, rent, insurance).
- Post journal entries in QuickBooks Online with accurate support and class coding.
- Ensure entries align with GAAP principles and internal documentation standards.
Operational / Revenue Support (as assigned)
- Assist with tie-outs between operational systems (EHR/billing outputs) and the general ledger.
- Research and explain revenue or AR variances, including timing differences and claims-related issues.
- Support revenue accuracy and documentation requirements.
Process Improvement
- Maintain templates, recurring schedules, and checklists for close activities.
- Identify recurring issues, propose improvements, and help reduce rework or reclasses.
- Support efforts to streamline and standardize accounting processes.
What Success Looks Like
- Assigned accounts are reconciled accurately and on time every month.
- Close tasks are delivered on schedule with minimal rework.
- Issues are flagged early with clear explanations and proposed solutions.
- Documentation is clean, consistent, and easy to follow.
Minimum Qualifications
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field; or an equivalent combination of education and experience.
- Experience:
- 2 years of accounting or bookkeeping experience with month‑end close exposure.
- Experience performing bank/credit card reconciliations and maintaining clean support schedules.
- Working knowledge of accrual accounting and journal entries.
- Experience with QuickBooks Online is preferred.
- Experience in healthcare, behavioral health, or multi-location accounting is a plus.
- Technical Skills:
- Proficiency with QuickBooks Online (Advanced preferred).
- Strong Excel skills, including reconciliation schedules, pivots/lookups, and variance checks.
- Ability to maintain organized workpapers and follow standardized accounting processes.
- Soft Skills:
- Strong organizational and time‑management skills.
- High attention to detail and follow-through.
- Clear communicator, especially when issues arise, or accounts do not tie out.
- Ability to work independently and collaboratively within a small accounting team.
- Dependable under deadlines, with a commitment to accuracy and consistency.
