Certified Medical Assistant/Receptionist

The Certified Medical Assistant (CMA) plays a crucial role in supporting providers and ensuring the efficient operation of clinical services at North American Mental Health Services. This position is responsible for providing direct patient care, assisting with administrative and clinical tasks, and maintaining a welcoming and professional environment for patients and staff.

Essential Duties & Responsibilities

  • Coordinate care and communication with psychiatrists, case managers, pharmaceutical reps, clinical personnel and other behavioral health professionals to ensure continuity of services. Assist prescribing providers at their request
  • Ensure compliance with HIPAA, ethical, and professional guidelines in all client interactions and documentation.
  • Adhere to all organizational policies and procedures related to client care, confidentiality, and professional conduct.
  • Patient check-in, vitals, height, weight, blood pressure, oxygen level, chief complaints, drug and food allergies, medication reconciliation and immediately record into the encounter – appropriately update the Electronic Health Record (EHR) system
  • Maintain medical records / EHR, document all care-related conversations with a patient or provider regarding patient
  • Give injections under the direct supervision of a provider, using the current standard for Universal Precautions
  • Call/Fax Rx requests including but not limited to refill requests, final Rx’s for suspended patients, upon request, and mailing prescriptions as needed
  • Process TAR’s and prior authorization request
  • Provide lab results at providers’ request
  • Write letters per provider’s instruction; efficiently generate necessary letters (ESA/Unemployment/jury/etc.)
  • Maintain sample closet, keep sample logs updated and disperse samples at provider’s request
  • Perform the following tests/screens: urine tox screens and genetic testing as requested by providers. Collection of urine/oral toxicology samples; sendoff same day.
  • Assist with welfare check and 51/50 calls.
  • Attend mandatory staff meetings.

Front Desk Receptionist Cross-Training

  • Greet patients, visitors, and staff in a professional and welcoming manner.
  • Check in/out, schedule, reschedule, cancel and confirm patient appointments in accordance with clinic protocols. Proactively monitoring the following week’s schedule. Adjusting patients as needed to assure maximum scheduling efficiency
  • Verify insurance eligibility and patient demographic information during check-in and update records as needed. Collect co-pays and payments, issue receipts, and reconcile daily transactions.
  • Answer incoming calls, route messages appropriately, and respond to inquiries regarding appointments, services, and policies.
  • Assist with administrative tasks, such as scanning documents, data entry, and maintaining office supplies. Scan all documents, upload and label in patient charts in Electronic Medical Record (EMR). Check EMR to verify patient information update as needed.
  • Room patients as needed; via Zoom / telehealth / virtual conference as needed.
  • Address patient concerns with professionalism and empathy, escalating issues to the appropriate department when necessary. Document conversations and events with patients regarding issues, needs, or concerns.
  • Ensure the reception area is clean, organized, and stocked with necessary materials.
  • Coordinate care with psychiatrists, case managers, and other behavioral health professionals to ensure continuity of services. Fill openings throughout the day when openings become available.
  • Keep track and update NPP/ROI’s/Patient demographics.
  • Assist with welfare checks and 51/50 calls.
  • Attend all mandatory staff meetings as directed.
  • Ensure compliance with HIPAA, ethical, and professional guidelines in all client interactions and documentation. Adhere to all organizational policies and procedures related to client care, confidentiality, and professional conduct.
  • Other duties as assigned by management.
Qualifications:
  • High school diploma or general education degree (GED)
    • Preferred - Associate degree (AA) or equivalent from a two-year college or technical school, or six months to one years related experience and/or training, or equivalent combination of education and experience.
  • Medical Assistant certification (CMA or CCMA).
  • Current Basic Life Support (BLS) certification preferred.
  • Bilingual in Spanish/English preferred.
  • Experience working with underserved populations, including Medi-Cal recipients, at-risk individuals, and those with severe mental illness is preferred.
  • Minimum of 1 year of experience in an outpatient, community mental health, or similar clinical setting.
  • Basic knowledge of insurance verification and medical terminology preferred.
  • Proficiency in electronic health records (EHR) and clinical documentation.
  • Strong interpersonal and communication skills with the ability to interact effectively with diverse populations. Ability to work both independently and collaboratively within a multidisciplinary team.
  • Ability to multitask in a fast-paced environment while maintaining attention to detail.
  • Professional demeanor, excellent problem-solving skills, and a customer service-oriented attitude.
  • Strong organizational, time management, and problem-solving skills.
  • Willingness to adhere to ethical guidelines and professional standards of conduct.
  • Ability to work both independently and collaboratively within a multidisciplinary team.

The full hourly range for this position is $19.00–$30.00 per hour.
Current hiring range: $19.00–$23.00 per hour, depending on experience and qualifications.
