Receptionist/Office Assistant
Hybrid (3.5 days in office)
Position Overview:
Nationwide IT Services is seeking a Receptionist/Office Assistant to support our headquarters. This is a dual position responsible for ensuring a welcoming and professional first impression for visitors and the smooth operation of the office.
Duties and Responsibilities:
- Present a friendly, professional, and welcoming first contact (greet, direct, and assist visitors).
- Maintain an orderly and welcoming reception area and clean conference rooms.
- Organize, maintain, and keep office common areas, including the kitchens, neat and sufficiently stocked
- Answer phone and direct calls
- Responsible for incoming and outgoing mail, shipping, and receiving
- Maintain security by following procedures, monitoring the logbook, and issuing loaner badges
- Manage the inventory and assist with the purchasing and maintenance of office supplies and equipment. Coordinate with building maintenance staff and service vendors
- Responsible for organizing and helping to run regular company events, communicating with vendors, and securing food and supplies
- Provide general meeting support
- Assist with the production of the quarterly company newsletter
- Help plan charitable activities to give back to the local community
- Other administrative duties as assigned
Job Qualifications:
- Excellent telephone and computer skills
- Team player with strong communication and interpersonal skills
- Pleasant and professional demeanor with a clear speaking voice and excellent spoken and written command of English
- Strong knowledge of Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
- Must be punctual
- Detail-oriented and organized yet adaptable and able to quickly prioritize tasks in a deadline-driven environment
- Able to maintain confidentiality
- Proficient typist
- General office skills (e.g. scanning and copying)
- High school degree or equivalent GED
- Prior receptionist experience
Preferred Qualifications:
- College Degree and/or previous office service-related experience, preferably within a corporate environment.
