Job Summary

Our Operations team routinely interacts with city and county agencies such as fire and police departments.
The Administrative Operations Assistant is a fast-paced position with strict deadlines that plays a vital role in supporting internal teams to provide exceptional service to clients by processing candidate scores and handling necessary administrative tasks for meeting operational and program needs. Due to the confidential nature of the position, employees must exercise discretion and agree to a confidentiality agreement.
Essential Functions
- Execute day-to-day operational activity including but not limited to;
- Scoring and checking all scores before sending to clients
- Organizing and prioritizing scoring for accurate and timely delivery.
- Conducting research as directed in scoring databases.
- Entering and managing candidate scores for assessment centers.
- Entering candidate feedback for assessment centers.
- Acting as a resource in providing data to fulfill internal requests.
- Electronic and hard copy file management
- Perform administrative tasks for assigned testing programs and business development activities. This includes, but is not limited to;
- Product fulfillment (client orders, processing faxes, and internal office supply ordering)
- Online/website research
- Data entry into proprietary scheduling/calendar systems
- Data entry into Excel, Google Sheets, and proprietary systems
- Supporting internal teams regarding client requests.
- Formatting, printing, and shipping proposals, order forms, contracts, business forms, marketing collateral, and other
- Communicating with city, state and other government agencies, vendors, and candidates via phone and email
- Daily work in Client Relationship Management (CRM) system
- Support inter-departmental requests and other special projects
- Support client test administration as an exam proctor, virtually or in person, as needed
- Minimal travel for local testing activity, shipping-related drop-offs at USPS, FedEx, and UPS, and/or miscellaneous procurement of supplies
- Perform other duties as assigned
Experience and Qualifications
- Associate’s Degree preferred, or equivalent combination of education and experience
- Strong communication (both written and verbal), professionalism and interpersonal skills
- Efficient organization skills
- Proven technical skills (data entry, databases, online systems/websites)
- Proficiency in Excel and Google Suite
- Discretion in handling sensitive hiring information
- High attention to detail
- Ability to manage multiple priorities with strict deadlines
Physical Requirements
Frequently Performed tasks
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery, such as a copy machine and computer printer.
- Must be able to remain in a stationary position 50% of the time.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
Occasionally Performed tasks
- Occasionally positions self to maintain files in file cabinets.
- Occasionally moves boxes weighing up to 50 pounds across the office for various needs.
