The Opportunity
We are seeking a dynamic and highly motivated individual to fill the combined role of Executive Assistant to the CEO/COO and Office Manager in our Playa Vista office. The ideal candidate is highly organized, capable of managing workloads and prioritizing tasks in a fast-paced environment.
Your Impact
- Coordinate and manage the CEO/COO's schedule, ensuring all meetings, deadlines, presentations, and other duties are performed seamlessly.
- Assist in preparing the CEO/COO for events such as panel discussions, conferences, and client meetings.
- Coordinate the CEO/COO's communications, including phone calls, internal and external correspondence.
- Make travel arrangements, including flights, accommodations, and other itinerary specifics.
- Prepare and submit expense reports.
- Coordinate projects and reports for the CEO/COO.
- Manage and organize client events, dinners, and presentations.
- Develop an understanding of the needs of the organization and prioritize conflicting needs as necessary.
Responsibilities
- Oversee the clerical and front office functions to ensure smooth daily operations.
- Improve operational systems, processes, and policies in support of the company's mission.
- Manage office events, including planning and execution of social gatherings and ordering catering.
- Maintain office cleanliness, décor, and supplies; make necessary space upgrades and coordinate inter-office moves.
- Liaise directly with our sister-agencies operations team and parent company's Facilities team where necessary.
- Document all operations expenditures and inventory.
- Document regular building inspections and walk-throughs.
- Manage meeting room technology, ensuring all VC and screenshare systems are functioning properly.
- Manage external vendors and communicate with building management as needed.
- Ensure the office environment is comfortable, safe, and compliant with all relevant health, safety, and facility regulations.

- A positive and personable attitude, with the ability to work harmoniously and effectively within a team and across teams.
- 2-5 years of relevant experience working in operational management and/or as an Executive Assistant; experience at an entertainment or digital media company is a plus.
- Strong computer skills, including proficiency in Microsoft Office, Google Workspace, and/or Apple productivity tools.
- BA/BS in business, administration, or a related field with a strong academic record.
Position Type
This is a full-time, exempt position.
Work Environment:
This job operates in a professional office environment in Playa Vista, CA, where the role requires being physically present 5 days per week.
