Overview


The National MPS Society seeks a dynamic individual for our nonprofit's mission. The candidate will work with Team members throughout the day. Primary duties will include gift processing, reporting, and support programs. The candidate will serve as an administrative management liaison and be supervised directly by the COO.

The Administrative Specialist and Gift Processor will ensure day-to-day operations of the office are managed. They will work closely with the Director of Philanthropy in gift processing. The position will coordinate multiple programs in a diversified setting, work closely with others to engage in special projects annually, process mail, copy oversight, oversee the CRM program for gift processing, support the Annual Family Conference with Team members, and engage in committee meetings.


The ideal candidate must have at least 3 years of administrative management experience. This essential position is full-time and located on-site. The National MPS Society is a 2500 member organization in the rare disease community. Its eleven professional staff members work collectively under the board of directors' oversight, using a $3 million budget to accomplish its mission.


Responsibilities include (but not limited to):

  • Data management, including processing donations, generating financial and data reports, maintaining spreadsheets, and updating member database
  • Working directly with the Director of Philanthropy and Controller to balance gifts
  • Supporting National events i.e.; Conference, Gala, Raleigh Run
  • Overseeing incoming and outgoing mail, UPS, and federal express.
  • Answering phone lines in a professional and courteous manner
  • Serving as initial point of contact and directing calls/inquiries as appropriate
  • Office management, including maintaining organized office/storage space and overseeing office supply purchasing and inventory, onboarding new Team Members with training in phones, access to program software, gmail, and more.
  • Working with vendors to purchase office supplies and materials
  • Performing clerical functions including but not limited to mailings, copying, email management, etc., and providing support to others in the office as needed
  • Maintaining and updating shipment of orders


REQUIREMENTS:

Degree and a minimum of (3) years progressively responsible office management, strong data entry skills in a CRM, preference for raiser's edge experience, and support in a multi-person office environment. Preferred candidates will possess a bachelor’s degree in Communication, Business or related field; or any combination of education and experience that provides equivalent knowledge, skills and abilities. Preference is given to applicants with non-profit experience.

· Ability to embrace technology platforms and manage multiple website content; relies on troubleshooting skills, quick learner, and proactive.

· Analyze data and information using established criteria to determine consequences and to identify and select alternatives. Compare, count, compute, tabulate, measure, differentiate, categorize, classify, copy, record, and transcribe data and information.

· Manage multiple projects with deadlines, with and without direct supervision.

· Advise and provide interpretation to others on how to apply policies, procedures, and

standards to specific situations.

· Work collaboratively and effectively with fellow employees, board members, volunteers, organization members, committees, and other agencies; deal with the public in a courteous/ tactful manner.

· Communicate effectively both orally and in writing.

· Apply simple mathematics, descriptive statistics, and algebraic formulas. Interpret statistical reports and/or formulation and equation data.

· Operate and maneuver equipment and machinery requiring simple but continuous adjustments, such as motor vehicles, computers, printers, telephones, fax machines, calculator/adding machines, and copiers.

· Coordinate eyes, hands, feet, and limbs in movements such as data entry and word processing.

· Oversee storage and inventory of all publications

· Strong Microsoft Suite skills are essential.

· Experience with Raiser’s Edge or a comparable Contact Management platform is required.

· Exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing, and pulling.


Salary range: $58k - $60k per year
