What are the responsibilities and job description for the Sales Operations Coordinator position at National Metal Shapes?
About NMS
National Metal Shapes, a trusted flooring component manufacturer since 1972, is in the midst of a bold growth phase. We are revitalizing our culture and building a high-performance team focused on accountability, execution, and results.
We are looking for driven, capable individuals who want to grow with us. This is not just a job—it is an opportunity to develop into a key contributor within a company with deep roots and significant upside.
The Opportunity
This role is the critical link between our outside sales team and our internal operations.
Your mission is simple but important:
Ensure every order we sell is executed cleanly, accurately, and on time—freeing our sales team to focus on winning new business.
You will take ownership of customer orders after purchase orders are received, managing communication, coordination, and follow-through from order entry through delivery.
For the right person, this role is a launchpad. High performers will be developed and promoted into outside sales roles as we continue to grow.
What You Will Do (Other duties, as assigned)
Own the Order Lifecycle (Post-PO)
· Track and manage all assigned orders from ERP entry through production and delivery
· Ensure accuracy of order details, specifications, and timelines
· Identify and resolve discrepancies early before they impact production or delivery
Be the Customer Contact (Post-Sale)
· Proactively communicate timelines, updates, and changes
· Manage revisions and special requests
Coordinate Across Teams
· Work closely with:
o Inside Sales (order entry and documentation)
o Production (status and execution)
o Shipping (delivery timing and logistics)
· Follow-up consistently to keep orders moving without delay
· Escalate issues when needed to ensure timely resolution
Own Issue Resolution
- Take full ownership of any order issues from start to finish
- Coordinate internally to resolve errors, delays, or changes
- Ensure clean, accurate outcomes—not partial fixes
Enable the Sales Team
· Keep outside sales reps informed without requiring them to follow up
· Remove them from day-to-day order tracking and problem-solving
· Help build trust in our ability to execute at a high level
What We Are Looking For
Bachelors degree and 1–3 years of experience in a customer-facing, operations, or coordination role
Strong organizational skills with the ability to manage multiple priorities at once
Clear, professional communication—both written and verbal
High attention to detail and follow-through
Comfortable working across teams and pushing for answers when needed
Proficiency in Microsoft Office; ERP/CRM experience is a plus
Who You Are
We are looking for someone who naturally operates with:
High Standards – You take pride in getting the details right
Accountability – You own outcomes, not just tasks
Grit – You follow through, even when things get messy
Upbeat Energy – You bring a positive, solutions-oriented attitude
Purpose – You want to grow and be part of building something meaningful
Growth Path
This role is designed as a steppingstone into outside sales. As we grow and senior team members retire, new territory will open. High performers in this role will be first in line for promotion into outside sales positions with uncapped earning potential.
Why This Role Matters
Our ability to grow depends on how well we execute.
When orders are handled cleanly and customers are well-informed, our sales team can focus on what they do best, building relationships and generating new business.
This role is essential to making that happen.
