What are the responsibilities and job description for the National President Executive Assistant On-Call/Part-Time position at National Medical Association?
SUMMARY: The On-Call Part-Time National President Assistant provides direct administrative support to the National President. This position requires the availability to respond to the National President via telephone or email during NMA business or evening hours and experience in handling a wide range of administrative tasks. It requires professionalism and confidentiality. Excellent written and verbal communication skills are also required. The applicant must possess decision-making ability and attention to detail. This position reports to the Executive Director.
GENERAL DESCRIPTION: The President's Assistant performs a variety of highly confidential and sensitive administrative/ executive support tasks. The assistant composes letters, proofreads, and edits routine correspondence.
MAJOR DUTIES:
1. Serve as primary liaison to the National President and maintain effective working relationships with BOT members, HOD, Past Presidents, Region Chairs, State and Local Society, and other NMA members.
2. Coordinate conference calls for the National President.
3. Researches, compiles, assimilates, and prepares confidential and sensitive documents and periodically briefs the National President regarding incoming communications.
4. Organize incoming correspondence and mail appropriate materials to the National President.
5. Review documents for the National President's Signature and approval.
6. Coordinates and facilitates the National President calendar to arrange appointments, meetings, and conferences.
7. Makes travel arrangements for the National President.
8. Organize and maintain a filing system for priority correspondence and other records.
9. Must be available to respond to the National President via telephone or email during NMA business or evening hours.
10. Maintains and monitors daily schedules and appointments, internally and externally, for the National President.
11. Prepares outgoing mail and correspondence, including e-mail, faxes, and overnight packages.
12. Attend and assist the National President during Annual Conferences, Colloquium, and other events.
13. Perform other related duties assigned.

MINIMUM EDUCATION/EXPERIENCE/KNOWLEDGE AND SPECIAL SKILLS:
Bachelor’s degree or the equivalent of 5-10 years of administrative experience as an administrative assistant to senior-level executives. Applicant must have excellent writing, editing, and communication skills and demonstrate solid computer proficiency in advanced Microsoft Office Suite and related software applications. Internet proficiency is required, and the National President's Executive Assistant must be organized, detail-oriented, and deadline-sensitive. Applicants must be flexible and able to work effectively in a changing medical and nonprofit environment. Applicant must demonstrate poise, tact and diplomacy, customer service orientation, initiative, and the ability to anticipate needs while working quickly and efficiently among competing priorities. The National President's Executive Assistant must be flexible to handle multiple tasks and hold information in strict confidence. Some travel and the ability to work the occasional weekend may be required.
