As our project volume increases, we’re looking for an organized, reliable Office-Based Support Team Member to join our Facility Maintenance and Construction Division.
Position Overview
This is a supportive administrative role focused on assisting the operations, maintenance, and construction teams from our Warminster, PA office. The ideal candidate will be highly organized, tech-savvy, and capable of managing multiple moving parts in a fast-paced environment. You’ll play a key role in scheduling, communication, data entry, and helping coordinate both internal resources and subcontractors across multiple active jobs.
Key Responsibilities
- Support Facility Maintenance and/or Construction teams with administrative tasks
- Schedule work orders, coordinate subcontractors, and assist with dispatching
- Track project statuses, follow up on completion updates, and close out tasks in systems
- Maintain digital records, update internal databases, and organize project files
- Communicate professionally with vendors, clients, and field staff
- Assist with reporting, invoice support, and operations coordination
- Ensure all incoming maintenance requests are processed accurately and promptly
Qualifications
- 1–3 years of experience in office administration, construction coordination, or service dispatch
- Strong organizational and multitasking skills
- Clear and professional written/verbal communication
- Proficiency with Microsoft Office, email platforms, and scheduling tools
- Ability to learn internal platforms (CRM, dispatch, project management tools)
- Detail-oriented and deadline-conscious
- Knowledge of construction, facilities, or property maintenance terminology is a plus
