Responsibilities
- Enter, update, and maintain data records using Microsoft Office applications, spreadsheets, and specialized software such as QuickBooks.
- Manage multi-line phone systems to handle inquiries, direct calls, and provide exceptional customer service.
- Organize and file physical and digital documents with meticulous attention to detail, ensuring easy retrieval and security of sensitive information.
- Assist with office management tasks including calendar management, appointment scheduling, and front desk duties such as greeting visitors and answering phone communication with professionalism.
- Proofread and verify data entries for accuracy, completeness, and consistency; perform quality checks regularly.
- Support bookkeeping activities by recording transactions accurately in QuickBooks or other accounting software.
- Collaborate with team members to streamline workflows, improve organizational systems, and enhance overall office productivity.
Experience
- Prior clerical or administrative experience in an office environment is required; experience in medical reception or personal assistant roles is a plus.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Strong typing skills with high accuracy; familiarity with data entry best practices.
- Excellent organizational skills with the ability to manage multiple tasks efficiently in a fast-paced setting.
- Bilingual abilities are preferred to support diverse client communication needs.
- Previous experience using QuickBooks or similar bookkeeping software is highly desirable.
- Knowledge of office management procedures including filing systems, calendar management, and customer support protocols.
