POSITION PURPOSE

The Information Technology Manager owns all information technology workflows across NGS Intek and its operating companies (National Gym Supply, Intek Strength, and future acquisitions). The role is responsible for the security, reliability, and efficiency of the organization’s IT infrastructure — service accounts, user onboarding, desktop and server environments, network devices, telephony, backups, patching, and vendor management.


Distinct from a traditional infrastructure role, this position is the Company’s internal enterprise systems owner. NGS Intek is mid-migration to NetSuite as its single ERP across operating companies. The IT Manager is expected to be, or to rapidly become, the Company’s internal NetSuite expert — serving as the hands-on counterpart to the implementation partner through cutover, then owning administration, configuration, integrations, reporting, and user training after go-live so the Company is not dependent on outside consultants. The role also owns the IT integration playbook for acquisitions and the Company’s cybersecurity, backup, and disaster recovery posture.


ESSENTIAL FUNCTIONS AND BASIC DUTIES

ERP / NetSuite Ownership

  • Serve as the Company’s internal NetSuite administrator and subject-matter expert across all operating companies.
  • Partner with the implementation consultant through the remaining migration: data mapping and cleansing, item and customer master setup, chart of accounts alignment, testing, cutover, and post-go-live stabilization.
  • Own day-to-day administration — roles and permissions, forms, fields, workflows, saved searches, dashboards, and reporting for finance, purchasing, inventory, and sales.
  • Build and maintain integrations between NetSuite and adjacent systems (e-commerce and ordering platform, shipping, payments, EDI, payroll, expense management, and CRM), coordinating with outside developers where required.
  • Train and support end users; develop internal documentation and standard operating procedures so system knowledge stays in-house.
  • Progressively reduce reliance on outside NetSuite consultants and track the associated spend.
  • Provide support to business in the design and creation of various reports out of ERP system.


Account Management

  • Create, manage, and monitor service accounts and user access permissions across all systems.
  • Prepare new user accounts and configure PCs for onboarding; execute prompt, complete access removal Enforce least-privilege access and periodic access reviews, including segregation of duties within the ERP.


Systems Administration

  • Maintain and troubleshoot desktop, server, and cloud environments across all Company locations.
  • Install, configure, and maintain Windows operating systems, Microsoft 365, Google Workspace and business applications.
  • Maintain the hardware and software asset inventory, license position, and renewal calendar.


Network & Telecommunications

  • Troubleshoot and maintain network devices (switches, routers, firewalls, wireless access points) and site connectivity.
  • Manage phone systems, including configuration, call routing, and troubleshooting.
  • Support warehouse and manufacturing floor technology, including barcode scanning, label printing, and shop-floor terminals.


Cybersecurity, Data Protection & Backup

  • Own the Company’s security stack — endpoint protection, email security, multi-factor authentication, and user security awareness training.
  • Implement, monitor, and periodically test backup and disaster recovery procedures; document recovery time and recovery point objectives.
  • Complete cyber insurance applications, customer security questionnaires, and lender or audit information requests.
  • Maintain written IT security policies and an incident response plan; investigate and report incidents to management.
  • Ensure company’s network, infrastructure and SOP’s maintain full PCI compliance.


Software Maintenance & Vendor Management

  • Schedule and apply software updates and security patches across all systems, ensuring compatibility and minimal business disruption.
  • Manage IT vendors and managed service providers — scope, service levels, pricing, and performance.
  • Evaluate new tools on a cost/benefit basis and present recommendations with pricing and payback to management.


M&A Systems Integration

  • Develop and maintain a repeatable IT integration playbook for acquisitions — email and identity, network, endpoints, file migration, and ERP onboarding.
  • Support IT diligence on prospective targets: systems inventory, license and contract exposure, security gaps, and integration cost estimates.
  • Execute integration workstreams on schedule and report status to management against a defined timeline.


Employee Support & Communication

  • Serve as the primary point of contact for IT-related issues across all locations.
  • Provide technical guidance and training to staff as needed, in plain business language.


Documentation

  • Develop and maintain detailed documentation of technical requirements, system configurations, integrations, and processes.
  • Keep documentation current and accessible for audits, diligence, and troubleshooting.


PERFORMANCE MEASUREMENTS

  • NetSuite migration milestones are met on schedule and on budget; the Company is self-sufficient on routine NetSuite administration within twelve months of hire, with a measurable reduction in outside consulting spend.
  • Month-end close is not delayed by system issues; reporting and saved searches requested by Finance are delivered accurately and on time.
  • Minimize downtime of employee hardware and troubleshoot internal problems within 24–48 hours.
  • Track and reduce Company spend on IT hardware, software licenses, and vendor services.
  • Compliance and best practices are maintained for IT security, on both a web-based and physical basis; backups are tested successfully on a documented schedule.
  • Acquired businesses are integrated onto Company systems within the agreed post-closing timeline.
  • Positive business relations exist with suppliers and internal stakeholders.
  • Good communication and effective working relations exist with other departments and with ownership.


QUALIFICATIONS

EDUCATION/CERTIFICATION:               

  • Bachelor’s degree in IT, Computer Science, or related field, or equivalent hands-on experience.
  • NetSuite Administrator (SuiteFoundation / Certified Administrator) certification a strong plus.


REQUIRED KNOWLEDGE:

  • Working knowledge of NetSuite or a comparable ERP (Dynamics, Acumatica, SAP B1, Epicor), with demonstrated ability to configure the system, not merely use it.
  • Knowledge of IT hardware, software, licensing, and vendor management.
  • Knowledge of systems administration and Microsoft 365 and Google Workspace environments.
  • Knowledge of network and telecommunications best practices.
  • Knowledge of cybersecurity fundamentals; data security training/certification helpful.
  • Experience with technical writing and development of standard operating procedures.
  • Familiarity with distribution and/or light manufacturing operations (inventory, purchasing, order fulfillment) preferred.


EXPERIENCE REQUIRED:                     

  • 5 years of IT experience including management of soup-to-nuts IT security, hardware, and software.
  • Direct participation in at least one ERP implementation, migration, or major upgrade is required.
  • Experience in a small- or middle-market company, where the role is hands-on and unsupported, is strongly preferred.


SKILLS/ABILITIES:                                   

  • Strong communication and presentation skills, both written and verbal.
  • Excellent analytical abilities.
  • Ability to manage and coordinate projects with multiple individuals and departments.
  • Comfortable operating with limited resources and setting priorities independently.
  • Well organized.
  • Able to use PC and peripheral equipment, telephone, and printers.


PHYSICAL STRENGTH:                          

  • Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)
  • Occasional work in warehouse and production areas; occasional travel to Company and acquired locations.
