Accounts Payable Specialist

Job Summary:

We are seeking a detail-oriented and organized Accounts Payable Specialist to join our accounting team in a dynamic manufacturing environment. This role will manage the full-cycle accounts payable process, ensuring accurate and timely processing of invoices and payments. The position will also involve handling intercompany transactions and providing AP support for our international subsidiaries, including cross-border payments and reconciliations.

Key Responsibilities

• Process high-volume vendor invoices, verifying accuracy, coding to appropriate general ledger accounts, and obtaining necessary approvals.
• Perform three-way matching of purchase orders, receiving documents, and invoices.
• Prepare and execute payments via check, ACH, wire transfers (including international wires), and other methods.
• Reconcile vendor statements, resolve discrepancies, and respond to vendor inquiries promptly.
• Manage intercompany invoices, transfers, and reconciliations between domestic and our international entities, ensuring proper elimination and compliance during consolidation.
• Assist with month-end closing, account reconciliations, and accrual preparations.
• Maintain accurate AP records, including 1099 reporting and vendor file management.
• Support internal and external audits by providing documentation and explanations.
• Collaborate with procurement, receiving, and international teams to streamline processes and resolve issues.
• Identify opportunities to improve AP workflows, including automation and efficiency in intercompany transactions.
• Perform other accounting duties as assigned.

Qualifications

• Associate's degree (2-year) in Accounting, Finance, or a related field; OR 3-5 years of direct accounts payable experience in a manufacturing environment.
• Proven experience in full-cycle AP processing, preferably in manufacturing with exposure to inventory, cost accounting, or production-related invoices.
• Familiarity with intercompany transactions, multi-currency payments, and international vendor management is a plus.
• Proficiency in ERP systems (Epicor), Concur, QuickBooks, and Excel.
• Strong attention to detail, organizational skills, and ability to handle high-volume workloads.
• Excellent communication skills for interacting with vendors, internal teams, and international stakeholders.
• Knowledge of GAAP and basic accounting principles.

• Experience with wire transfers, foreign currency transactions, or multi-entity reconciliations.
• Ability to work in a fast-paced manufacturing setting with tight deadlines.
