Role Description
This full-time hybrid role is based in Farmingdale, NY, allowing for a combination of in-office work and occasional remote flexibility. This Is Not a Typical Assistant Role. We are looking for a high-performance operator to work directly with the COO/CRO of a fast-growing experiential marketing company.
This role is for someone who thrives in a fast-paced environment, takes ownership, and knows how to execute at a high level without constant direction. You will be the person who keeps everything moving.
What You'll Do
📧Own Communications
Manage and triage the executive inbox
Draft and respond to client emails
Track follow-ups, and active conversations
Ensure nothing falls through the cracks
📅 Control the Calendar
Manage a fast-moving schedule
Coordinate internal and client meetings
Protect time and prioritize effectively
Prepare daily briefing summaries
💼 Build Proposals & Decks
Create polished client presentations (PowerPoint, Google Slides, Gamma)
Turn rough ideas into client-ready proposals quickly
Support RFP responses and sales materials
🧠 Manage HubSpot & Pipeline
Maintain deals, notes, and next steps
Keep CRM clean and actionable
Track opportunities and flag priorities
🛠 Handle Operations & Admin
Own day-to-day administrative execution
Organize files, documents, and workflows
Coordinate some internal logistics
Be the person who already handled it
🎤 Prep & Follow Through
Prepare meeting agendas and materials
Capture notes and summarize key takeaways
Send follow-ups and track action items
