Operations Administrator – Water Utilities
Position Summary
The Operations Administrator supports the day-to-day operational and customer account processes for the utility operations team. This role is responsible for managing billing and premise investigation workflows, processing system transactions, maintaining reporting accuracy, and ensuring compliance with internal procedures related to water and sewer utility services. The ideal candidate is detail-oriented, organized, and comfortable working with utility management systems and operational data.
Key Responsibilities
Consecutive Estimate Management
- Process and manage consecutive estimate terminations
- Review customer accounts for billing accuracy and ensure timely resolution of consecutive estimate issues.
- Coordinate with field operations, billing, and customer service teams as needed.
Sewer-Only Premise Investigations
- Conduct investigations for inactive flat rate sewer-only premises.
- Research account history, service status, occupancy, and premise activity to verify billing eligibility.
- Document findings and update records in accordance with company procedures.
BPEM Processing
- Process flat rate move-out BPEM transactions
- Ensure move-out requests are completed accurately and within established service timelines.
- Review exception items and resolve discrepancies as appropriate.
Reporting & Administrative Support
- Generate and distribute daily consecutive estimate reports.
- Maintain accurate operational records, tracking logs, and documentation.
- Monitor workflow queues and prioritize assignments to meet departmental deadlines.
- Assist with audits, data validation, and operational process improvements.
- Support additional administrative and operational tasks as assigned.
Qualifications
- High school diploma or GED required; associate degree preferred.
- 2 years of administrative or operations support experience, preferably in utilities, customer service, or billing operations.
- Experience working with SAP or utility billing systems preferred.
- Strong attention to detail and data accuracy skills.
- Proficient in Microsoft Office Suite, especially Excel.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
