Job Summary
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily business activities. This role is vital in managing schedules, coordinating projects, handling administrative tasks, and facilitating communication across departments. Duties

  • Manage complex calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Utlizie the CRM and keep updates notes
  • Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
  • Handle phone etiquette professionally while managing multi-line phone systems and screening calls for senior staff.
  • Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
  • Assist in duties for other executives
  • Conduct transcription of meetings or notes as needed and ensure timely completion of all administrative tasks using office tools like Microsoft Office Suite.
  • Provide personal assistant support including scheduling personal appointments or errands as required by leadership.

Experience

  • Proven experience as an executive assistant or in a similar administrative role with a focus on office management and executive support.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Experience with CRM's and marketing through the CRM
  • Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
  • Excellent typing skills combined with transcription experience to produce accurate documents swiftly.
  • Exceptional phone etiquette skills across multi-line phone systems coupled with customer service experience.
  • Ability to proofread documents meticulously ensuring error-free communication.
