Assistant Director of Operations

We are seeking a highly motivated and results-driven Assistant Director of Operations to support the leadership, management, and continuous improvement of our operations. This role plays a critical part in driving operational excellence, developing high-performing teams, ensuring compliance with company standards, and delivering exceptional service to our customers.

The ideal candidate is a hands-on leader who thrives in a fast-paced environment, has a passion for coaching and developing others, and possesses a proven track record of improving performance through strong execution, accountability, and strategic thinking.

Key Responsibilities

  • Assist in overseeing daily operations to ensure efficiency, consistency, and exceptional service delivery.
  • Partner with senior leadership to execute strategic initiatives and operational objectives.
  • Monitor key performance indicators (KPIs) and implement action plans to improve results.
  • Identify operational challenges and proactively develop effective solutions.
  • Support the management of budgets, resources, and operational expenditure.

Oversight & Leadership Development

  • Lead, coach, and mentor managers and frontline employees to achieve individual and organizational goals.
  • Foster a culture of accountability, engagement, continuous improvement, and professional growth.
  • Conduct performance evaluations and provide ongoing feedback and development opportunities.
  • Assist with recruiting, onboarding, training, and retention initiatives.
  • Promote a positive workplace culture focused on teamwork, communication, and excellence.

Sales, Customer Experience & Shop Performance

  • Drive revenue growth and market-level sales performance.
  • Improve conversion rates, average repair order, gross profit, and customer retention metrics.
  • Audit estimates, repair recommendations, inspections, and customer communication for effectiveness and consistency.
  • Support financing utilization and sales process execution across all locations.
  • Assist in resolving escalated customer concerns and service issues.
  • Ensure every location delivers best-in-class customer experience.

Duties

  • Assist in managing daily shop operations when needed.
  • Ensure proper staffing levels, scheduling, and leadership coverage.
  • Support front counter operations and customer engagement.
  • Oversee bay productivity, workflow management, and production standards.
  • Ensure jobs are completed efficiently and within established repair timelines.
  • Review work orders, parts processes, estimates, and repair documentation for accuracy.
  • Maintain shop appearance, professionalism, and operational readiness.

Financial Management & Business Performance

  • Help manage budgets and monitor financial performance.
  • Analyze sales, labor, productivity, gross profit, ticket average, and conversion trends.
  • Review daily financial reports and operational dashboards.
  • Make data-driven recommendations to improve profitability and efficiency.
  • Support long-term growth initiatives and market expansion opportunities.
  • Mitigate operational, financial, and business risks.

Compliance, Safety & Quality Control

  • Ensure compliance with company policies and regulatory requirements.
  • Maintain safety standards and operational controls at every location.
  • Monitor customer payment processes, financial controls, and documentation requirements.
  • Help prevent fraud, theft, unauthorized work, and policy violations.
  • Conduct operational audits and follow-up on corrective actions.

Qualifications

· Bachelor’s degree in business administration, Operations Management, Logistics, Engineering, or a related field, or equivalent experience.

· 5 years of progressive operations leadership experience.

· Proven experience leading teams in a fast-paced operational environment.

· Strong analytical, problem-solving, and decision-making abilities.

· Experience in managing performance metrics and operational reporting.

· Excellent communication, organizational, and leadership skills.

· Proficiency in Microsoft Office Suite and business management systems.

· Experience with P&L management, budgeting, and operational reporting.

· Proficiency with Microsoft Office, Teams, Outlook, Excel, and operational reporting tools.

· Experience with Tekmetric, AutoVitals, PartTech, Marchex, or similar platforms preferred.

Schedule Expectations

  • Minimum five-day work week.
  • Saturday availability required.
  • Frequent travel between locations and markets.
  • Availability to support business needs after normal operating hours when needed.
