Position Summary

The Executive Assistant (EA) provides high-level administrative, operational, and strategic support to the Executive Director (ED), Chapter staff, and key organizational functions. This role blends traditional executive support with nonprofit-specific responsibilities, financial/ administrative coordination, communications support, and stakeholder liaison duties. The EA ensures smooth daily operations and strengthens organizational efficiency, accuracy, and communication.

This is a full-time role with flexible scheduling needs, including occasional evenings and weekends. This position is based in Lansing, MI but will have some remote work possibilities.


Core Responsibilities
 
1. Administrative & Executive Support
  • Support the Executive Director’s calendar, meetings, speaking engagements, and travel logistics.
  • Screen, prioritize, and respond to calls, mail, and high-volume email inquiries.
  • Prepare meeting documents, internal reports, presentation materials, and briefing packets as needed.
  • Track and process expenses, reimbursements, credit card receipts, and general office operations.
  • Support the ED with special projects, research, and administrative tasks as needed.

2. Registration, Member Services & Operational Coordination

  • Create and maintain website postings, online forms, and registration pages for Chapter programs when needed.
  • Support online and phone/email registrations, group registrations, and related invoicing.
  • Monitor registrations, follow up with participants or organizations, and ensure data accuracy.
  • Process backend registration payments, allocate credit card receipts, and maintain accurate financial records.

3. Communications & Materials Support

  • Draft and edit internal and external communications, including emails, announcements, and simple marketing materials.
  • Prepare presentations, informational packets, and organizational updates for the ED and Board.
  • Support social media posting and scheduling (no strategy required).
  • Assist with maintaining accurate and up-to-date website content.

4. Financial & Administrative Operations

  • Support internal AP/AR processes: vendor setup, invoice routing, payment coding, receivables tracking, and reconciliation.
  • Process cash receipts, online payments, and credit card transactions.
  • Maintain budget templates and assist with gathering projections and entering data into budget systems.
  • Support completion of necessary reports and filings
  • Track shared debits/credits and ensure accuracy of transactions with NASW National.
  • Coordinate with the national financial team regarding routine processes and special requests.

5. Mission-Specific Administrative Support

  • Serve as a point of contact for members, presenters, partners, and stakeholders regarding administrative or financial questions.
  • Stay informed about NASW National policies, procedures, and required Chapter reporting; assist with local implementation.
  • Attend staff meetings and other internal meetings as required; ensure follow-up tasks are completed.

Qualifications
  • 3–5 years of administrative, executive assistant, operations, or similar experience (nonprofit preferred).
  • Exceptional organizational skills with strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, databases/CRM, Zoom, and basic website maintenance.
  • Ability to handle confidential information with discretion.
  • Strong time management, prioritization, and follow-through skills.
  • Experience with budgeting, financial processes, or nonprofit financial administration.
  • Familiarity with customer relations systems, registration platforms, or membership systems.
  • Experience supporting senior leadership or working with a Board of Directors.
