TITLE: Staff Accountant
IMMEDIATE SUPERVISOR: Controller
CLASSIFICATION: Part time, non-exempt
SALARY: $36 per hour
SCHEDULE: 21 hours per week (Tuesday through Thursday, in office)
POSITION SUMMARY:
Reporting to the Controller, the Staff Accountant is responsible for performing a broad range of accounting and financial support duties. This includes processing accounts payable, recording accounts receivable and revenue, preparing journal entries, reconciling accounts, supporting month- and year-end close, and managing deposits. This position requires strong analytical skills, attention to detail, and the ability to collaborate effectively across departments.
RESPONSIBILITIES:
- Process accounts payable and maintain accurate vendor documentation.
- Record and review credit card transactions, ensuring valid and complete supporting documentation.
- Assist with recording revenue and accounts receivable transactions.
- Deposit and record paper checks accurately and timely.
- Prepare and record day-to-day, monthly, and adjusting journal entries.
- Perform detailed and complex financial analyses as requested.
- Reconcile balance sheet accounts including payables, receivables, prepaids, fixed assets, and other key accounts.
- Communicate with vendors regarding payment issues, credits, and account discrepancies.
- Collaborate with membership and other internal departments to resolve revenue and receivable inquiries.
- Assist with month-end and year-end close processes, including preparing audit schedules and supporting the IRS Form 990 preparation.
- Maintain organized digital files and documentation for audit readiness.
- Prepare year-end tax documents for vendors (e.g., 1099s)
- Ensure the general ledger, AP, and AR processes follow GAAP and internal policies.
- Assist with implementing, monitoring, and improving internal financial controls and procedures.
- Ensure compliance with organizational financial policies and external reporting requirements.
- Support system enhancements, workflow improvements, and data clean-up initiatives.
- Assist with special projects, reporting needs, and ad hoc analyses.
- Perform other duties as assigned.
QUALIFICATIONS:
The qualifications, skills, attributes, and experience for this role include, but are not limited to, the following:
Education
- Bachelor’s degree in accounting, finance, business, economics, or related field.
Experience
- Minimum of 3 years of accounting experience; nonprofit/association experience preferred but not required.
- Experience with month-end close, reconciliations, and audit support strongly preferred.
- Experience with Sage Intacct (required), Bill.com (required), Martus Solutions, and Salesforce preferred.
Knowledge, Skills, and Abilities
- Strong understanding of Generally Accepted Accounting Principles (GAAP)
- Advanced Microsoft Excel skills and proficiency in Outlook
- Strong written and verbal communication skills
