What are the responsibilities and job description for the Client Coordinator/Administrative Assistant position at National Air Corporation?

What You’ll Do:
Answer phones and dispatch service calls (including shared after-hours duties).
Support managers through a variety of administrative tasks .
Prepare and distribute correspondence, letters and forms.
Maintain organized filing system.
Generate and deliver client reports as needed.
Manage client Certificates of Insurance and ensure timely submission of invoices, agreements and proposals.
Oversee preventative maintenance schedules per client agreements.
Review of subcontractor statements and client HVAC accounts for accuracy and timeliness.
Serve as the primary point of contact, building strong, long-term client relationships.
Deliver exceptional, timely client service every day.
What We’re Looking For:
1-3 years of office or administrative experience (HVAC industry experience is a plus but not required).
Excellent time management, multitasking and prioritization skills.
Strong attention to detail and organizational skills.
Clear written and verbal communication skills.
Proficiency in MS Office (Word, Excel, Outlook).
A quick learner who thrives in a team-oriented environment.
Hourly rate: $27-$29/hour (based on experience).
Schedule: Minimum 30 hours/week with a flexible schedule you can customize to fit your needs. You’ll have the freedom to choose your daily hours (e.g., 8 AM–2 PM, 9 AM–3 PM, etc.), but once selected, this will be your consistent, set schedule to ensure reliability for our team and clients.
