Overview
The Voter Services Specialist provides essential administrative and operational support to the Supervisor of Elections Office. This role ensures a smooth delivery of voter services, compliance with all state and federal election laws, and on-time completion of assigned projects.
This role also plays a key part in fostering a positive, respectful, and service-oriented culture within the Supervisor of Elections Office – promoting teamwork, professionalism, and open communication among colleagues and the public.
Duties:
1. Voter Assistance
- Explain registration, voting options, and the election process clearly.
- Provide front counter, phone, and email assistance to voters.
- Respond promptly to inquiries, while maintaining a courteous, nonpartisan approach at all times.
2. Vote-by-Mail and Petitions
- Ensure petition and reporting deadlines are met.
- Maintain correspondence with VBM voters regarding undeliverable mail and other issues.
- Perform daily reconciliation and audit of vote-by-mail (VBM) ballots.
- Post timely updates to the official website.
- Process VBM requests, including UOCAVA voters, cure affidavits, letters, and follow-up calls.
- Respond promptly to correspondence from VotebyMail@votenassaufl.gov, while always maintaining a courteous, nonpartisan approach.
- Verification of candidate and initiative petitions.
3. Candidate and Committee Support
- Assist potential and active candidates with qualifying, finance reporting, and compliance with Florida election laws (Chapters 99, 104, 105, 106).
- Community Development District (CDD) reporting and communications.
- Provide guidance on the Campaign Treasurer Handbook, Electronic Filing System Guidelines, and Financial Disclosure requirements.
5. Election Support
- Assist with researching voter eligibility for provisional ballots.
- Support phone bank operations.
- Support ballot duplication during Canvassing Board Meetings.
- Participate as part of the Department of State (DOS) reporting team.
6. Voter Registration Assistance
- Assist with weekly notices.
- Assist with NCOA (USPS National Change of Address) updates.
- Cancellations, requests to be removed, and deceased voters.
- Federal Post Card Applications (FPCA) and Federal Voting Assistance Program (FVAP).Process potentially ineligible voters (felons, non-citizens, mentally incapacitated), including notices and legal ads.
- Process underliverable mail.
- Processing new and updated voter registration information, paper applications, and the suspense queue. Including address protected voters.

Qualifications
- Associates or Bachelor's degree is required.
- Ability to perform data entry with high accuracy and manage sensitive information with confidentiality.
- Knowledge of Florida and federal election laws preferred.
- Must possess good interpersonal and communication skills and work as part of a team.
- Minimum 5 years of administrative experience requiring discretion.
- Proficiency in Microsoft Office Suite and other relevant software.
- This position frequently communicates with and assists voters and co-workers. Must be able to exchange accurate information in these situations.
- Valid Class E driver's license is required.

Pay: $20.00 - $21.00 per hour
