Position Overview:
We are seeking a highly organized, reliable, and tech savvy Front Desk Receptionist & Administrative Assistant to manage daily school operations and digital communications. This year round school-based position offers the chance to work in a collaborative environment, support gifted learners, and contribute to a transformative educational experience that builds confidence, resilience, and lifelong skills in every student.
The Front Desk Receptionist & Administrative Assistant serves as the first point of contact for prospective families and visitors, providing a warm, welcoming, and professional presence that reflects the school’s mission and values. This role supports the admissions process from inquiry through enrollment while managing front office operations and daily communications.
Key Responsibilities:
Administrative Front Office & Reception Responsibilities
- Greet and assist all visitors, families, and students in a friendly and professional manner
- Answer and direct phone calls, emails, and general inquiries
- Serve as the primary front-office contact, greeting students, families, and visitors.
- Manage daily administrative tasks, including:
- Attendance tracking
- Scheduling support
- Document organization and filing
- Creating, Maintaining and Updating student and school records, including childcare licensing documentation
- Assist with internal and external school communications.
- Support classroom and campus operations as needed.
- Maintain strict confidentiality of student, staff, and school information.
- Maintain a tidy, organized, and welcoming front office environment
- Manage incoming and outgoing mail, deliveries, and school communications
- Support communication efforts, including newsletters or announcements
- Provide basic first aid to children that get injured or ill during the school day
- Track and Maintain summer camp information and communication
- Open/Close the car gate when children get dropped off or picked up outside of normal arrival and dismissal times
Admissions Support
- Serve as a inital contact for prospective families, explaining the admissions process
- Schedule and coordinate tours, and shadow days
- Help maintain accurate admissions records, applications, and student files
- Assist with enrollment paperwork, contracts, and follow-up communications
- Help track inquiries and applicants
- Support planning and execution of admissions fairs and events (information sessions)
Technology & Systems
- Utilize Microsoft Office Products (Docs, Excel, etc) and Google Workspace (Docs, Drive, Sheets, Calendar) for daily operations and camps.
- Utilize Blackbaud Management Software for Grade Reports, Student Schedules, Attendance and Tuition Billing
- Maintain organized digital files and communication systems.
Communications
- Assist with internal and external school communications.
- Classroom activities
- School events
- Announcements and reminders
- Assist with the Blackbaud calendar and trainings.
- Summer Camp
- Coordinate with administration to ensure messaging is accurate, timely, and appropriate.
Outreach & Community Engagement
- Monitor local events, fairs, and opportunities for possible participation
- Assist in planning and executing participation, such as hosting a table, providing materials, or sharing information
- Track upcoming opportunities and report to leadership for approval and planning

Qualifications:
- High school diploma required; associate’s or bachelor’s degree preferred
- Minimum of 1 year experience in an administrative, office, or school-based role preferred.
- Strong organizational, communication, and time-management skills.
- Comfort working in a fast-paced school environment with multiple priorities.
- Proficiency with Google Workspace & Microsoft Office required.
- Dependable, professional, and detail-oriented.
- Must pass a background check and meet state requirements.

- Ability to maintain confidentiality and professionalism at all times
Preferred Qualifications
- Experience with Blackbaud systems a plus
- Experience in a school or educational setting.
- Familiarity with Canva or similar design tools.
- Experience working with small teams.
