Duties
- Greet visitors warmly, verify appointments, and direct them appropriately
- Answer multi-line phone systems promptly with professional phone etiquette
- Manage incoming and outgoing correspondence, including emails and mail distribution
- Maintain organized filing systems, data entry records, and document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and travel arrangements
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Provide customer support by addressing inquiries efficiently and courteously
- Perform clerical duties including typing, data entry, filing, and document preparation using Microsoft Office and Google Workspace tools
Requirements
- Proven office or administrative experience with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with multi-line phone systems and phone etiquette
- Bilingual abilities are a plus to serve diverse clientele effectively
- Familiarity with QuickBooks or bookkeeping software is preferred
- Excellent typing speed and accuracy for data entry tasks
- Strong attention to detail for proofreading documents and managing records
- Ability to manage time effectively in a fast-paced environment
- Previous experience as a dental or medical receptionist or personal assistant is advantageous
- Demonstrated customer service skills with a friendly, professional demeanor
