Job Description: A highly efficient family based in Atherton is seeking an experienced, proactive, and exceptionally organised Household Manager / Family Executive Assistant to oversee the smooth running of their primary residence and support their busy family life.
This is a hands-on role for a polished, discreet, and resourceful professional who can confidently take ownership of household operations, staff management, vendor coordination, family logistics, and personal administration. The successful candidate will act as the central point of coordination between the principals, household staff, schools, service providers, contractors, travel advisors, and other professional contacts, ensuring every aspect of the household operates seamlessly.
The family has two school-aged children, a dog, multiple household employees, and travels frequently. They value efficiency, excellent communication, meticulous organisation, initiative, and outstanding follow-through.
Key Responsibilities:
Household & Property Management
Oversee the day-to-day running of the residence and maintain the home to the highest standard.
Conduct regular property inspections and coordinate preventative maintenance, repairs, landscaping, housekeeping, pool, HVAC, security, home automation, and all household services.
Maintain household calendars, maintenance schedules, inventories, household manuals, warranties, service records, and operational systems.
Coordinate deliveries, installations, purchases, household supplies, and ensure the home remains organised and guest-ready.
Staff & Vendor Management
Manage household staff schedules, priorities, performance, and daily communication.
Coordinate household employees, childcare support, chefs, housekeepers, and external service providers.
Source, schedule, supervise, and evaluate contractors and vendors, obtain quotations, monitor projects, negotiate where appropriate, and ensure work is completed to a high standard.
Assist with recruitment, onboarding, training, and establishing household procedures and systems.
Family & Personal Assistance
Manage family calendars, appointments, reservations, correspondence, errands, shopping, gifts, and personal projects.
Coordinate all school and extracurricular activities for two school-aged children, including registrations, transport, uniforms, camps, appointments, and communications with schools and activity providers.
Research products, services, travel options, and local resources while providing organised recommendations to the principals.
Organise digital and physical household records while maintaining complete confidentiality.
Travel & Lifestyle Management
Coordinate domestic and international travel, including itineraries, reservations, travel documents, transfers, accommodation, and pre- and post-travel household preparations.
Ensure the household continues to operate efficiently while the family is travelling.
Oversee pet care arrangements, veterinary appointments, and supplies.
Assist with family events, entertaining, guest visits, celebrations, and hospitality.
Financial & Administrative Support
Track household expenses, invoices, budgets, reimbursements, and project costs.
Maintain organised financial records and provide concise updates and expense summaries for the principals.
Liaise with accountants, insurance providers, and other professional advisors as required.
Preferred Experience:
Previous experience working in a private household within Atherton, Palo Alto, Woodside, Hillsborough, or surrounding Bay Area communities.
Familiarity with Bay Area schools, children's activities, luxury service providers, and local vendors.
Experience supervising household staff, including housekeepers, chefs, nannies, drivers, gardeners, and contractors.
Experience managing renovations, landscaping, or large-scale home improvement projects.
Experience supporting multigenerational households.
Proficiency with Lark or similar workplace communication and project management platforms.
Demonstrated longevity in previous roles with excellent professional references.

Schedule
The position is primarily Monday to Friday during standard business hours, with flexibility required for occasional early mornings, evenings, weekends, family events, travel support, and urgent household matters. While this is not an on-call role, the successful candidate should be responsive when time-sensitive situations arise.
Requirements:
Minimum of 5 years' experience as a Household Manager, Estate Manager, Family Assistant, Executive/Personal Assistant, or in a similar private household role.
Ability to communicate effectively in Mandarin/Chinese is required. Proven experience managing a luxury residence, household staff, vendors, contractors, and multiple ongoing projects.
Exceptional organisational, project management, time management, and communication skills with strong attention to detail.
Excellent written and spoken English, with the ability to draft professional correspondence and liaise confidently with schools, travel advisors, vendors, and service providers.
Strong IT proficiency, including Google Workspace, spreadsheets, task management platforms, online ordering systems, and the ability to quickly learn smart-home and household management applications.
Experience supporting children's school and extracurricular schedules, coordinating complex domestic and international travel, and managing household administration.
Resourceful, proactive, discreet, and solutions-oriented, with excellent judgement, integrity, and emotional intelligence.
Valid driver's licence with a clean driving record and legal authorisation to work in the United States.
Flexibility to occasionally support the family outside standard business hours when necessary.
