Job Summary:
We are seeking a detail-oriented Billing Assistant to join our finance team. The ideal candidate will be responsible for preparing and processing invoices, maintaining accurate billing records, and ensuring timely payment collection.
Key Responsibilities:
- Generate and distribute invoices to customers accurately and on schedule, ensuring all billing information is complete and correct before submission.
- Review customer accounts and billing statements to identify discrepancies, resolve billing issues, and process adjustments or credits as needed.
- Maintain organized records of all invoicing activities, payments received, and outstanding balances in our accounting system.
- Communicate with customers regarding billing inquiries, payment status, and account balances in a professional and courteous manner.
- Process incoming payments through various methods including checks, credit cards, and electronic transfers, and post them to the appropriate accounts.
- Prepare regular reports on accounts receivable, aging reports, and collection activities for management review.
- Collaborate with other departments to obtain necessary billing information and resolve any pricing or service delivery questions.
- Assist with month-end closing procedures related to billing and accounts receivable functions.
Qualifications:
- High school diploma or equivalent required; associate degree in accounting or related field preferred.
- Previous experience in billing, accounts receivable, or general accounting is strongly preferred.
- Proficiency with accounting software and Microsoft Office Suite, particularly Excel.
- Strong numerical aptitude with exceptional attention to detail and accuracy.
- Excellent organizational and time management skills with the ability to prioritize multiple tasks.
- Effective written and verbal communication skills for interacting with customers and team members.
- Ability to maintain confidentiality and handle sensitive financial information appropriately.
