About This Position
The Property Assistant is a vital role at NAI Select. You will create outstanding first impressions, maintain a professional and welcoming office environment, and provide essential administrative support that helps our team deliver results for our clients and ultimately achieve our core focus: Enrich Communities and Build Legacies.
Essential Responsibilities
Front Office & Client Support
- Greet visitors in a professional and welcoming manner
- Answer and direct incoming calls promptly and courteously
- Take ownership of lobby, conference rooms, and shared spaces - keeping them clean, organized, and ready for use
- Handle incoming/outgoing mail, packages, and daily invoice batches
- Order, receive, and manage office supplies and equipment
- Maintain company and property calendars, including meetings and conference room usage
Property Management Support
- Coordinate new tenant correspondence (welcome letters, deposits, rent, etc.)
- Order background checks for prospective tenants
- Receive, input, and track tenant work orders, dispatching vendors as needed
- Maintain lease tracking worksheet and certificates of insurance
- Assemble and distribute monthly property financial report packages
- Assist in preparing proposals, agreements, contracts, and lease summaries
- Complete annual Secretary of State filings
Administrative Support
- Provide general office support including scanning, copying, filing, and preparing correspondence
- Assist team members with special projects and tasks as assigned
Knowledge, Skills & Abilities
- Proficiency with Adobe Acrobat Pro and Microsoft Office Suite (Word, Excel, Outlook) Adobe Creative Suite experience a plus.
- Minimum 3 years of administrative experience in a professional, customer-service-focused industry
- High school diploma or equivalent required; AA or Bachelor’s degree preferred
- Dependable, punctual, and consistent in attendance
- Positive outlook and professional demeanor
- Strong attention to detail, accuracy, and organization
- Ability to thrive under pressure in a fast-paced environment
- Effective communicator - both written and verbal
- Works independently and collaboratively as part of a team
Workplace Conditions
- Full-time, in office Monday–Friday, 8:00 a.m. to 5:00 p.m.
- Work is in an office setting
- Must be comfortable sitting at a desk and working on a computer for extended periods
- Occasionally may lift up to 50 lbs. (files, office supplies, etc.)
Compensation
Compensation for this position DOE and includes paid time off and great medical (with bronze, silver and gold tiers), vision and 401K benefits. We also have a corporate Chaplain that visits once a week to assist employees that want this type of support. We truly care about the physical, mental, and spiritual well-being of our employees!
