Essential Functions
Program & Partnership Operations (30%)
- Manage partnership logistics for the Annual Conference and year-round engagement. This includes the Global Partnership Program (GPP) Annual Conference exhibitors, and sponsor and marketing deliverables
- Collaborate on partner communications, monthly newsletters, and stewardship materials.
- Oversee SP&D team operations, including shared drives, CRM updates, and dashboards
- Track partner benefits and ensure delivery of commitments across NAFSA programs.
- Process and reconcile invoices, deposits, and payments related to partnerships, sponsorships, and exhibits
- Maintain accurate financial and contractual records within NAFSA’s CRM and finance systems
- Generate regular reports and analytics to track revenue, partner activity, and engagement outcomes
- Support SP&D and Finance teams in ensuring data integrity and audit readiness.
- Serve as the primary liaison for the NCC giving circle, managing renewals, acknowledgements, and member communications
- Lead NCC events and recognition activities, including conference receptions and donor briefings
- Oversee NCC’s annual giving calendar and help steward relationships with major donors and board-affiliated contributors
- Maintain donor records and engagement tracking in the CRM
- Represent NAFSA at meetings and various events as needed
- Provide project management and administrative support to the Executive Office, including initiatives related to the CEO and Board of Directors
- Collaborate with Executive Office for board meetings and executive engagements through milestone tracking, deliverables coordination, logistics management, and day-of execution support.
- Develop and maintain standard operating procedures for executive processes
- Conduct research and draft background materials for briefings, speeches and others as needed
- Support the integration of ex-officio board members into NCC giving initiatives
- Uphold the highest level of discretion and confidentiality across all work products, assignments, communications and scheduling data.
- Provide back-up support for the Executive Assistant as needed
- Assist with implementation of key organizational initiatives such as OGSP 2.0, and other strategic projects
- Explore and apply AI tools and digital systems to enhance workflow and scheduling efficiency
- Support organizational knowledge management and process improvement efforts
Requirements
QUALIFICATIONS (Required)
- Bachelor’s degree or equivalent combination of education and experience.
- At least 2 years of relevant professional experience
- Demonstrated ability to manage multiple projects, prioritize tasks, and meet deadlines.
- Excellent verbal and written communication skills, including drafting correspondence and
- donor materials.
- Strong analytical and organizational skills with attention to accuracy and detail.
- Proficiency with Microsoft Office Suite and CRM or project management platforms (Salesforce, Smartsheet, Asana, or similar).
- Proven ability to work collaboratively in a cross-functional team environment.
- Professional discretion and ability to handle confidential information.
- Graduate degree in a field relevant to international higher education
- Experience in higher education, international education, partnership coordination, project management or nonprofit associations.
- Familiarity with fundraising or sponsorship systems and processes.
- Experience supporting C-level executives or board members.
- Comfort using emerging technologies (AI scheduling tools, digital campaign platforms).
The standard workday is generally 9:00 a.m. to 5:00 p.m. EST. During the week after Memorial Day to Labor Day, it is 8:30 a.m. to 5:30 p.m. Monday through Thursday and 9:00 a.m. to 12:00 p.m. on Friday. NAFSA employees are eligible to apply for regular teleworking two days a week (on Mondays and Fridays). Travel is required occasionally related to job responsibilities, especially for the annual conference or other leadership meetings. Participation in the NAFSA annual conference the week of Memorial Day, including the holiday itself, is a job requirement. The annual conference is held in varying cities. Tasks are performed in a typical office environment, involving sitting for extended periods of time. Sitting, standing, bending, and lifting 10lbs or less will occur intermittently throughout the workday. Position involves constant use of computer keyboard and monitor, with intermittent use of headset and microphone.
Total Compensation, Benefits
The target salary for this full-time, 35-hour per week Program Manager, Strategic Partnerships and Development & Executive Office position is $60,000. Total compensation for employment at NAFSA entails a competitive employee benefits package including:
