We are currently seeking an organized, detail-oriented, and collaborative Medical Services Coordinator to support the medical care of adolescents residing in our 16-bed residential program in Litchfield, Connecticut. Working closely with the Program Nurse and residential leadership team, the Medical Services Coordinator serves as a point of coordination for residents' medical services. This role is responsible for scheduling and tracking medical appointments, coordinating communication with healthcare providers, managing insurance and billing issues, identifying community providers to meet the diverse healthcare needs of youth, and ensuring all medical documentation is completed accurately and maintained in electronic health records and required external portals. The ideal candidate thrives in a fast-paced, dynamic environment, is highly organized, and can effectively respond to evolving requirements from medical providers, funders, regulatory bodies, and other stakeholders. This position plays a critical role in ensuring adolescents receive timely, coordinated, and comprehensive healthcare services. Responsibilities Include:

  • Work in close collaboration with the Program Nurse to ensure continuity of care and smooth coordination of all medical services
  • Coordinate all medical, dental, vision, specialty care, and other healthcare appointments for youth residing in the program
  • Serve as a liaison with physicians, specialists, hospitals, pharmacies, insurance companies, and other healthcare providers
  • Coordinate referrals, follow-up appointments, diagnostic testing, and specialty care services
  • Serve as the point person for insurance authorizations, billing questions, claims issues, and healthcare coverage concerns
  • Establish and sustain referral networks with licensed community medical, behavioral health, dental, and specialty providers to ensure youth receive coordinated, comprehensive, and holistic care that is responsive to their unique needs and promotes safety, permanency, well-being, and successful outcomes
  • Ensure all medical documentation is completed accurately and uploaded into the agency's electronic health record and required external portals within established timelines
  • Help maintain organized medical records and tracking systems that support regulatory compliance and quality care
  • Collaborate with residential staff to coordinate transportation and preparation for appointments. • Assist with audits, reporting, and quality assurance activities related to medical services
  • Remain responsive to changing requirements, healthcare regulations, insurance expectations, and agency protocols
  • Participate as an active member of the treatment team, supporting a collaborative, youth-centered approach to care

Desired Qualifications:

  • Associate's Degree required; Bachelor's Degree preferred
  • One to three years of experience in healthcare coordination, medical office administration, behavioral health, human services, or a related field preferred
  • Strongly preferred: experience coordinating healthcare services for youth, including scheduling medical appointments, managing referrals, navigating insurance processes, and maintaining accurate, timely, and confidential health records in compliance with applicable regulations and agency standards
  • Knowledge of electronic health records (EHRs) and healthcare documentation practices
  • Familiarity with HIPAA and medical confidentiality requirements
  • Experience working with adolescents, residential treatment, child welfare, or behavioral health settings is a plus
  • Spanish speaking preferred
  • Strong English verbal and written communication skills required

Hourly Rate: $24.00 per hour
