Job Summary: The Purchasing Clerk is responsible for supporting the procurement process by handling routine purchasing tasks. This entry-level role focuses on processing purchase orders, maintaining vendor records, and ensuring that inventory levels are managed efficiently. The ideal candidate will be detail-oriented, organized, and eager to learn about procurement processes.
Key Responsibilities:
- Assist in the creation and processing of purchase orders based on requisitions, ensuring accuracy and timeliness.
- Communicate with vendors to confirm order details, track delivery status, and address basic inquiries or issues.
- Help monitor inventory levels, track usage, and report low stock situations to ensure adequate supply.
- Maintain accurate and organized records of purchase orders, receipts, and correspondence with vendors.
- Input and update purchase order and inventory data into the company’s procurement software or database.
- Adhere to company policies and procedures for procurement and ensure compliance with relevant regulations.
- Assist with resolving minor issues related to orders, such as discrepancies or returns, and escalate more complex issues to a higher-level clerk or manager.
- Provide general administrative support to the purchasing department, including filing, organizing documents, and handling routine office tasks.
Qualifications:
- High school diploma or equivalent; additional coursework or certification in purchasing or supply chain management is a plus.
- Previous experience in an office environment or administrative role is preferred but not required.
- Strong attention to detail and accuracy
- Good organizational and time-management skills
- Basic communication and interpersonal skills
- Proficiency in computer applications
- Ability to learn and adapt to new software and procedures
- Ability to sit for extended periods and use a computer
- Occasional lifting of office supplies and materials (up to 25 pounds)
