Job Summary
The Front Desk Coordinator serves as the first point of contact for patients and visitors in our busy interventional cardiology office. This multifaceted role demands excellent interpersonal skills, the ability to thrive in a high-volume, fast-paced setting, and proficiency in managing multiple tasks simultaneously while maintaining a polished, professional demeanor. The ideal candidate is comfortable with technology, highly organized, and committed to following protocols and procedures to ensure smooth operations and outstanding patient experiences.
Key Responsibilities
-Warmly greet patients and visitors upon arrival, providing a hospitable and professional welcome
-Manage patient check-in and registration processes, including collecting and verifying demographic, insurance, and medical history information
-Handle high-volume phone calls, triage inquiries, schedule appointments, and provide general
practice information
-Perform check-out duties, including collecting payments, scheduling follow-up visits, and coordinating referrals or additional testing
-Provide clear pre- and post-procedure/diagnostic testing instructions to patients (e.g., preparation for cath lab procedures, stress tests, echoes, etc.)
-Support Medical Assistants (MAs) with patient flow, rooming coordination, and ensuring efficient movement through the office
-Accurately input and update patient data in the Electronic Health Record (EHR) system
-Manage patient intake forms, ensure compliance with HIPAA and office protocols, and maintain organized front desk areas
-Assist with scheduling diagnostic tests, procedures, and follow-ups while optimizing provider and room utilization
-Multitask effectively across check-in, check-out, phones, patient support, and administrative duties in a high-volume environment
-Adhere strictly to all practice policies, procedures, and regulatory requirements
Qualifications
Required Experience: Previous experience in a cardiology office, interventional cardiology practice, or related medical field (e.g., multi-specialty clinic, outpatient procedural setting) strongly preferred
Technical Skills: Proficiency with Electronic Health Record (EHR) systems and comfort using technology (e.g., practice management software, multi-line phone systems, Microsoft Office)
