Job Overview
We are seeking a dynamic and organized Receptionist/Intake Coordinator to join our team! Duties

  • Greet visitors and clients warmly, providing excellent customer support and guiding them through check-in procedures
  • Manage multi-line phone systems to answer inquiries promptly, direct calls accurately, and take detailed messages
  • Coordinate client intake appointments, ensuring all necessary documentation is collected and processed efficiently
  • Maintain organized filing systems, both physical and digital, including data entry and record keeping using software like Microsoft Office and AxisCare
  • Support office management tasks such as calendar management, scheduling meetings, and handling correspondence with professionalism
  • Assist with clerical duties including proofreading documents, managing phone etiquette, and performing general administrative support

Skills

  • Proven experience in front desk operations or office management with strong organizational skills
  • Excellent communication skills with a friendly demeanor; bilingual abilities are a plus for serving diverse clients
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
  • Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls effectively
  • Strong typing skills with attention to detail for accurate data entry and proofreading tasks
  • Ability to manage time efficiently in a fast-paced environment while prioritizing tasks effectively
  • Previous clerical or administrative experience, including customer service roles or personal assistant work
