Job description:
The Front Desk Agent is responsible for handling all guest services at the front desk, including check-in/check-out, answering phone calls, processing reservations, and providing general hotel information. They ensure a positive guest experience by offering friendly, efficient, and attentive service throughout the guest’s stay.
Key Responsibilities:
Guest Check-In and Check-Out:
- Greet guests in a friendly and professional manner upon arrival.
- Process guest check-ins by verifying reservation details, collecting payment, and issuing room keys.
- Handle guest check-outs, including finalizing bills, processing payments, and thanking guests for their stay.
- Ensure all guest information is accurately entered into the hotel system.
Reservations and Booking Management:
- Answer phone calls and emails related to reservations, providing information about room availability, rates, and hotel amenities.
- Confirm and manage reservations, make adjustments, and ensure guests’ special requests are noted.
- Assist guests in booking rooms, ensuring all details are recorded accurately.
Guest Service and Inquiries:
- Provide information to guests about hotel services, facilities, and nearby attractions.
- Assist guests with inquiries about transportation, dining, events, or special requests (e.g., wake-up calls, extra linens, or room changes).
- Handle guest complaints or concerns promptly, ensuring guest satisfaction and resolving issues as needed.
Handling Payments:
- Process payments for guest stays, including cash, credit card, and other payment methods.
- Manage cash drawers, ensuring all transactions are accurately recorded.
- Provide guests with receipts and ensure the safe and secure handling of payments.
Room Assignments and Key Management:
- Assign rooms to guests based on their reservations and preferences.
- Issue and retrieve room keys or access cards, ensuring proper documentation is maintained.
- Ensure the security of guest rooms and hotel property by following key control procedures.
Communication and Coordination:
- Communicate effectively with housekeeping, maintenance, and other departments to ensure guest requests are met and rooms are ready for check-in.
- Relay messages or special instructions to guests and other staff members as necessary.
- Keep the front desk area tidy, organized, and stocked with necessary supplies (e.g., forms, brochures).
Guest Security and Safety:
- Ensure the safety and security of guests by following hotel security protocols (e.g., monitoring surveillance, reporting suspicious activity).
- Handle emergency situations, such as medical issues or evacuations, in accordance with hotel policies.
Additional Duties:
- Assist with administrative tasks such as filing, maintaining logs, and updating guest records.
- Maintain a professional appearance and demeanor while on duty.
- Perform other duties as assigned by the Front Desk Supervisor or management.
Qualifications:
Education: High school diploma or equivalent required; some positions may prefer or require additional education or certification in hospitality.
Experience: Previous experience in customer service or hospitality is preferred but not always required.
Skills:
- Excellent communication skills, both verbal and written.
- Strong customer service skills and the ability to remain calm and professional in high-pressure situations.
- Basic computer and office skills (experience with hotel management software is a plus).
- Ability to multitask and prioritize tasks effectively.
- Problem-solving skills and ability to address guest complaints or concerns effectively.
Physical Requirements:
- Ability to stand or sit for extended periods of time.
- Ability to lift up to 20 pounds, such as carrying guest supplies or office materials.
Working Conditions:
- Works at the front desk area of the hotel, often interacting with guests and other hotel staff.
- Shifts may include evenings, weekends, and holidays, depending on the hotel's hours of operation.
This position may require occasional overtime or flexibility with hours, particularly during busy check-in or check-out periods.
