We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette.
  • Handle incoming calls, direct inquiries, and provide outstanding customer service support.
  • Manage calendar scheduling, appointment setting, and coordinate meetings using Microsoft Office and Google Workspace tools.
  • Perform data entry, filing, and maintain accurate records using computer literacy skills, including QuickBooks and other office management software.
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping.
  • Assist with clerical duties such as proofreading documents, managing correspondence, and organizing office supplies.
  • Provide personal assistant support when needed, including travel arrangements and task prioritization to optimize time management.

Requirements

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent typing speed and data entry skills for efficient record keeping.
  • Experience with multi-line phone systems, customer service, and phone etiquette.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Knowledge of QuickBooks or bookkeeping experience is desirable.
  • Strong organizational skills coupled with effective time management strategies.
  • Previous clerical or administrative experience in a professional setting preferred.
  • Familiarity with office management tasks such as filing, proofreading, and calendar management.
  • Personal assistant or medical/dental receptionist experience is advantageous but not required.
