We are seeking a highly organized and detail-oriented Project Coordinator to join our dynamic team. In this full-time role, you will support project management efforts while maintaining essential administrative functions to ensure the smooth operation of our office. Construction industry experience is required.
Key Responsibilities:
- Coordinate project timelines, milestones, and deliverables, ensuring that all tasks are completed on schedule.
- Manage calendars and schedules for project teams, including scheduling meetings, calls, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and conferences related to ongoing projects.
- Assist with proofreading and editing project documentation to ensure accuracy and professionalism.
- Handle general administrative duties, including phone calls, emails, and file management.
- Oversee office management tasks, including maintenance coordination and running errands.
- Transcribe meeting notes and distribute them to project stakeholders.
- Maintain strict confidentiality when handling sensitive project information.
- Generate and track reports related to project progress and resource allocation.
- Assist in coordinating with both field and office teams to ensure project requirements are met.
- Perform data entry tasks to track project timelines and resources.
- Verify and track expenses, ensuring all receipts and invoices are accurate and compliant with guidelines.
- Take on additional duties and responsibilities as required.
Qualifications & Skills:
- Strong organizational skills with the ability to prioritize tasks effectively and manage multiple projects.
- Proficient in administrative tasks such as calendar management, email correspondence, and document preparation.
- Experienced with Google Suite and Microsoft Office Suite, with a focus on project management tools.
- Experienced with Google Earth and other mapping tools.
- Exceptional written and verbal communication skills.
- Attention to detail with strong proofreading and editing capabilities.
- Ability to work independently and take initiative in a fast-paced environment.
- Willingness to learn and adapt to industry-specific project management software.
- Strong interpersonal skills and the ability to collaborate effectively with team members across departments.
- Construction industry experience required to understand the unique needs and challenges of project coordination in this field.
