Job Title: Office Administrator

Salary Range: $53,000 – $55,000 per year
Job Summary:
The Office Administrator for our transportation department plays a pivotal role in ensuring smooth and efficient movement of customer orders by managing carrier interactions, shipment execution, and logistical coordination. This role supports the development and maintenance of strong relationships with transportation providers, assisting in the daily transportation activities and ensuring operational excellence from pickup to final delivery.
Key Responsibilities:
- Assist in coordinating daily transportation activities, including planning, sourcing, and assigning shipments to appropriate carriers.
- Track and trace shipments to ensure timely pickups and deliveries, providing stakeholders with visibility and status updates.
- Foster and maintain strong relationships with carriers, ensuring alignment with performance standards, and reliability.
- Support the resolution of service issues promptly, including appointment scheduling, delays, and discrepancies with loads.
- Monitor carrier compliance with service levels, appointment times, and contractual agreements.
- Assist in identifying areas for improvement in carrier routing guides, rate structures, and load planning.
- Support the team with special projects, continuous improvement initiatives, and customer-specific programs.
- Generate and analyze performance reports and KPIs using internal systems and transportation management systems (TMS).
- Communicate effectively with internal teams, customers, and carriers to ensure smooth operational flow.
- Contribute to the creation and maintenance of up-to-date documentation of standard operating procedures (SOPs) and logistics processes.
- Assist in supporting cost-saving strategies through effective carrier selection and freight optimization.
Qualifications:
Required Experience:
- Minimum of 1 year of experience in logistics, supply chain, transportation, dispatching, or load planning.
- Preference for candidates with direct experience working with carriers in a fast-paced logistics environment.
Education:
- Bachelor’s Degree in Business, Logistics, Supply Chain, or a related field preferred. Equivalent work experience may be considered.
Knowledge, Skills, and Abilities:
- Strong communication and interpersonal skills with the ability to build positive relationships with carriers and internal teams.
- Proficiency in Microsoft Office (Excel, Outlook, Word), Access, and transportation management systems (TMS).
- Familiarity with freight documents such as Bills of Lading (BOLs) and Proof of Delivery (PODs) for shipment tracking and confirmation.
- Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
- Detail-oriented and organized, capable of managing multiple tasks in a fast-paced environment.
- Results-driven, with the ability to work independently and adapt to evolving demands.
- Comfortable communicating across multiple departments and interacting with senior-level professionals.
Work Environment and Hours:
- Location: Based in Clinton Township, MI.
- Flexibility required for non-standard hours, including evenings, weekends, and holidays, depending on business needs.
- Occasional travel may be required.
- Work environment includes both office and transportation logistics settings.
