Summary
We are seeking an Administrative Assistant to join our team at My Property Manager, LLC. This role is vital in supporting our daily operations and enhancing our customer service efforts. The ideal candidate will be organized, proactive, and ready to contribute to a dynamic work environment. The general hours are 8:00 AM to 4:00 PM but this is slightly flexible in terms of start time and end time.
Responsibilities
- Receive, track, and prioritize maintenance requests from tenants and property managers
- Assign work orders to internal technicians and approved vendors
- Provide clerical support including filing, data entry, and document preparation.
- Monitor progress of open work orders to ensure timely resolution
- Handle customer inquiries and provide excellent customer service.
- Dispatch maintenance staff and vendors to various scattered-site homes throughout the day
- Track technician availability and job progress in real-time
- Manage emergency calls and prioritize critical repairs appropriately
- Maintain clear communication with the field team to handle schedule changes
- Keep accurate records of maintenance costs, invoices, and service logs
Requirements
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to handle multiple tasks under pressure and adapt quickly
- Comfortable working with property management software and maintenance ticketing systems
- Basic knowledge of maintenance terminology and home repair processes
