Assistant Project Coordinator Job Duties and Responsibilities
- Assist in the planning & scheduling for maintenance services on buildings
- Assist in management decisions for assigned projects
- Help coordinate and manage projects from bid to completion
- Review project details and contribute ideas for reducing project costs
- Carry out daily operational tasks in an effective and timely manner
- Facilitate communications between office and contractors
- Track and directly report project status updates to upper management
- Help problem solve issues and suggest ways to improve projects
- Organize, file, and maintain all current project documents
- Enter information into and manage project data
- Assist in ensuring compliance with necessary project specifications & safety
- Help create, manage, and maintain project budgets and payouts to contractor
- Submit project billing summary & other documents immediately upon project completion
- Coordinate and execute daily administrative tasks
- Follow all systems, procedures and processes established by management
- Help create and adhere to project timelines and calendars
- Schedule meetings, phone calls, site visits etc.
- Consult with and gather information from clients and contractors, etc.
- Maintain positive contractor, vendor and client relationships
- Ensure all projects are completed as scheduled and meeting all goals of client
Assistant Project Coordinator Requirements and Qualifications
- Bachelor’s in business management or project management field preferred
- 2 years experience in project management or facilities management
- Knowledgeable in service industry or facilities maintenance
- Proficient in Microsoft Office Suite - Excel & Word
- Proficient in Acrobat Adobe
- Proficient in Google Maps & Google Earth
- Organized and detail-oriented
- Memory is a must have skill for this position
- Ability to track tasks and be persistent in completing tasks
- Takes initiative in order to ensure productivity in getting tasks completed
- Skilled collaborator
- Ability to negotiate payouts with contractors & reduced costs with vendors
- Excels in a high-paced work environment
- Completes their tasks and willing to help with team tasks
- Ability to multi-task effectively
- Strong communication skills both oral and written
