Marketing Coordinator

Role Overview
We are seeking a Marketing Coordinator to support the Director of Marketing in executing marketing initiatives and managing day-to-day marketing operations. This hands-on role coordinates proposal production, maintains marketing databases and content libraries, manages award submissions, and supports business development efforts. You will work closely with architects, project managers, and leadership to gather content and produce high-quality deliverables that showcase the firm's work.
Key Responsibilities
Proposals & Business Development
- Coordinate and produce RFP/RFQ responses, qualifications packages, and proposals
- Gather project information, team resumes, and imagery from internal stakeholders
- Track pursuit opportunities and manage proposal deadlines and schedules
- Support interview preparation including presentation materials and leave-behinds
Content & Database Management
- Maintain and update CRM database with project and contact information
- Manage project data, photography, and marketing content libraries
- Write and update project descriptions, team resumes, and boilerplate content
- Coordinate professional photography for completed projects
Awards & Communications
- Research, prepare, and submit award entries for industry recognition programs
- Support social media content creation, scheduling, and monitoring
- Assist with website updates, email campaigns, and digital marketing efforts
- Coordinate logistics for conferences, trade shows, and firm events
Qualifications
Required
- Bachelor's degree in Marketing, Communications, or related field
- 2-4 years of marketing experience, preferably in professional services
- Familiarity with proposal management and SF330 submissions
- Proficiency in Adobe InDesign, Photoshop, and Microsoft Office Suite
- Excellent writing, editing, and proofreading skills
- Strong organizational skills with ability to manage multiple deadlines
Preferred
- Experience in the A/E/C industry or professional services firm
- Experience with CRM systems (Deltek Vantagepoint and HubSpot preferred)
