Summary / Objective
This position is responsible for supporting all aspects of the Human Resources Department, as well as supporting the responsibilities of the VP, Director of Human Resources which include (but may not be limited to): recruitment, compensation, benefits, employee relations, compliance records, reports, supply ordering, postage management, Board portal/administrative support, and assisting with the MutualOne Charitable Foundation.
Experience & Education Requirements:
- Bachelor’s degree in business administration or human resources; or equivalent experience in the human resources field.
- Knowledge of federal and state human resources policies, procedures, and regulatory requirements.
- Knowledge of employment and other labor laws.

- Good analytical, interpersonal, communication and computer skills.
- Proven organizational skills and ability to manage multiple priorities.
Specific Job Functions:
- Communicate annual departmental policies and obtain signed acknowledgement forms from employees.
- Email announcements to employees regarding new employees, promotions, transfers, degrees, completion of classes, births, obituaries, retirement, etc.
- Review employee timecards, floating holiday(s), PTO, and vacation time, on a bi-weekly basis and assist with producing the reports for payroll processing.
- Prepare annual payroll calendar, bi-weekly payroll, and payroll tax vouchers to record the journal entries for the Finance Department.
- Notify employees via email/Paycom regarding current job openings within MutualOne Bank.
- Email applicable departments regarding any new hires, transfers, promotions & terminations for set-up, deactivation, etc. on various systems.
- Coordinate new hire orientation, including preparing welcome bags, orientation paperwork, and information regarding employees having a Bank photo taken at Paradise Photo.
- Train new employees on the payroll system, perform daily maintenance and answers employee and manager questions.
- Update employee records on a regular basis (including but not limited to updates of personnel files with annual salary increases, promotions, transfers, etc.)
- Monitor the performance review process, confirming that job descriptions are also reviewed by the supervisor and/or manager at least annually, and ensures that both the performance review and job description are completed in a timely manner.
- Maintain applicant tracking system, which includes uploading/reviewing resumes, emailing applications, etc.
- Uphold the internal employee Intranet.
- Oversee and maintain employee insurance changes and resolve issues related to enrollment and billing.
- Administer the health and dental insurance benefits, including payments for retirees, COBRA payments for prior employees, and benefit payments for employees on leave. Process tMagic Teller Capture Transactions to deposit benefit payments, withdraw payments from bank accounts and post the payments to the applicable general ledger accounts.
- Manage the leave process for the employees, including keeping the manager informed of the length of time the employee will be out on leave.
- Submit monthly departmental bills through Avid for approval and payment.
- Support VP, Director of Human Resources by gathering information for various audits, including FDICIA.
- Assist the VP, Director of Human Resources, on special projects.
- Attend and participate in unemployment hearings, when necessary.
- Order and maintain all supplies for the department and Cochituate office 2nd floor, as necessary, including welcome kit for new hires, bathroom supplies, office supplies, along with pads, batteries, etc. for the Defibrillator.
- Bank Secrecy Act responsibilities, include completing annual basic Bank Secrecy Act training, reporting suspicious activity to the BSA Officer and “Knowing Your Customer.”
- Manage the employee engagement initiatives, including annual awards banquet, employee recognition, special events, etc.
