Position Overview:
The Executive Assistant to the CEO will play a crucial role in ensuring the effective operation of the CEO's office. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities. The successful candidate will also assist with event planning and basic marketing initiatives, collaborating with various stakeholders to promote our bank’s mission and community engagement.
Key Responsibilities:
1. Administrative Support:
1.1. Manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
1.2. Prepare and organize briefing materials for meetings, presentations, and reports.
1.3. Serve as a primary point of contact for internal and external communication on behalf of the CEO.
2. Event Planning:
2.1. Coordinate and execute various bank events, including community outreach programs, customer appreciation events, and staff functions.
2.2. Collaborate with vendors, venues, and staff to ensure successful event logistics, including catering, audiovisual needs, and marketing materials.
2.3. Assist in the development of promotional materials for events to maximize community engagement.
3. Marketing Support:
3.1. Help implement basic marketing strategies to enhance the bank’s presence and strengthen community relations.
3.2. Assist in the creation and dissemination of content for social media and other marketing platforms.
3.3. Support CEO and members of the management team in community relations and brand awareness efforts.
4. Data Management:
4.1. Maintain organized records and databases related to events, client communications, and bank marketing efforts.
4.2. Prepare reports and presentations as needed to support strategic goals and initiatives.
4.3. Prepare reports and provide operational support for the Board of Directors and various executive committees.
4.4. Ensure corporate policies are reviewed and updated in a timely fashion. Update and maintain library of all active corporate policies.
5. Team Collaboration:
5.1. Work closely with the Hoopla Team and support all initiatives related to corporate culture and moments of truth.
5.2. Provide support for special projects and initiatives as directed by the CEO.
Qualifications:
- Minimum of 2 years of experience in an executive support role, preferably in the banking or financial services sector.
- Strong organizational and multitasking skills, with an ability to prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with social media platforms.
- Ability to maintain confidentiality and exercise discretion.
- Positive attitude and ability to work in a team environment.
