Overview
We are seeking a highly organized, tech-savvy Part-Time Administrative Associate to enable smooth daily office operations. You will manage mail intake and distribution, frontline communications, office readiness, and core administrative support so internal teams receive accurate information and materials on time. Success looks like completing work efficiently and before deadlines when possible, confirming deadlines when unclear, and delivering fully so no follow-up is required.
Key Responsibilities
Mail, Shipping, and Frontline Communications
- Process and route incoming mail (intake, sorting, scanning, distribution); resolve exceptions and escalate when needed.
- Monitor and forward general inbox/voicemail, answer and direct phone calls promptly and professionally.
- Receive/process inbound shipments and coordinate outgoing packages.
- Provide ad hoc support to Finance for printing/mailing checks as part of mailing responsibilities.
Visitor and Vendor Liaison
- Greet and guide visitors, creating a welcoming front-desk experience.
- Coordinate appointments with on-site vendors.
Office Readiness and Supplies
- Track, anticipate, and restock essential office supplies to avoid stockouts.
- Maintain organized shared spaces and storage areas in a ready state.
Procedures, Documentation, and Cross-Training
- Maintain up-to-date desk procedures and cross-training materials.
- Sequence work, confirm deadlines, and surface obstacles early to protect throughput.
- Support onboarding coverage by preparing and mailing new-hire packages; participate in cross-training and maintain needed systems access for coverage during absences.
Qualifications
- High school diploma or equivalent; some college coursework is a plus.
- Previous experience in administrative, reception, or office support preferred.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams); comfort with scanning and mailroom tools.
- Excellent organizational skills and attention to detail; ability to prioritize and sequence work, confirm deadlines, and follow through to completion.
- Strong interpersonal and communication abilities; discretion with confidential information.
Salary Range
- $20.00 – $26.00 per hour, commensurate with experience and qualifications.
